The goal of Atlas is to create knowledge networks with researchers, service providers, Veterans and their Families across Canada to increase expertise on military and Veteran mental health, suicide prevention and substance use disorders. Atlas will create new knowledge on Veteran mental health treatments that work and place it directly into the hands of mental health professionals and others working with veterans on a daily basis. Atlas will share evidence-based treatment protocols and best practices among the Veterans Affairs Canada network of Operational Stress Injury Clinics, the Canadian Forces Health Services, and with mental health professionals across the country.First responders, their families and other Canadians living with and affected by PTSD or a related mental health problem will also benefit from the information and knowledge developed at Atlas.POSITION OVERVIEWReporting to the Director of Implementation, the Atlas Institute is seeking an Implementation Project Coordinator, who will support projects and initiatives led by the implementation team. The successful candidate will be responsible for working collaboratively with colleagues and external stakeholders to coordinate the daily tasks of projects related to the development and delivery of online, blended-learning, and/or in-person trainings, webinars, consultations, communities of practice and/or events, and may include the development of resources related to these projects.DUTIES AND RESPONSIBILITIES<ul><li>Coordination of multiple projects within our implementation team. This includes the planning and overseeing coordination of:<ul><li>Cvent, our registration platform</li><li>virtual and in-person trainings, webinars, communities of practice and events in collaboration with internal colleagues and external partners </li><li>pilot and full launch of our mental health consultation program in collaboration with a Senior Implementation Specialist</li><li>support general implementation team improvements including evaluation, cross project tracking and consistency among other supports under the supervision of the Director, Implementation. </li></ul></li><li>Specific duties can include: <ul><li>Schedule coordination: Create detailed project work plans and track progress using Smartsheet and other project management tools. You will work directly with the Co-CEOs, Director of Operations, Associate Consultants and Core Team to intimately support the work of various not-for-profit organizations locally, nationally and internationally. There will never be a dull moment, and your detail-oriented drive to deliver and find administrative efficiencies will be highly valued.Generally, as a Project Mobilizer, you will work with us to:<ul><li>Complete a wide variety of administrative project related tasks that facilitate project delivery.</li><li>Assist with the coordination of all projects, supporting project meetings and task mobilization.</li><li>Mobilize elements of the project through meeting scheduling and direct engagement with project rights and interest holders.</li><li>Support technological aspects of projects including, but not limited to, virtual meetings, whiteboarding and other web-based productivity tools.</li></ul><h3>What we are looking for</h3>We expect Project Mobilizers to be able to demonstrate their:<ul><li>Strong administrative and organizing abilities.</li><li>Problem-solving and prioritization skills.</li><li>Curiosity and attention to detail.</li><li>Exceptional writing, editing and presentation skills.</li><li>Technological prowess with software and systems like Google Workspace and its suite of applications, Kumospace and other virtual meeting platforms, project management systems like ClickUp, and whiteboarding tools like Miro, along with other SaaS and productivity tools.</li><li>Integrity and commitment to an intersectional feminist, anti-racist, anti-oppressive ethos.</li><li>Warmth, empathy and care for others.</li><li>Strong, independent work ethic and ability to meet timelines and deadlines.</li><li>Surge capacity to supportively stretch when needed.</li><li>Fast thinking and ability to juggle multiple projects and competing deadlines with ease.</li></ul><h3>Let's break down the role</h3>Project Work and Coordination (70%)<ul><li>Supporting the delivery of virtual meetings, focus groups and engagements, taking detailed notes and tracking action items.</li><li>Scheduling appointments and project-related meetings, using scheduling software such as Koalender and Google Calendar, coordinating with the Co-CEOs, Director of Operations, Associate Consultants and external partners.</li><li>Understanding and prioritizing workflows and multiple project requirements.</li><li>Managing and tracking data collection and rights and interest holders engagement processes while ensuring a seamless client experience.</li><li>Following up on project scheduling and working closely with Project Leads.</li><li>Regular communication with clients and other external rights and interest holders.</li><li>Gathering information and analyzing project information.</li><li>Supporting report template preparation, proofreading, formatting and the logistics of documents.</li><li>Developing presentation decks, agendas and other project related materials.</li><li>Providing other forms of surge capacity where needed.</li></ul>Administrative Duties (30%)<ul><li>Scheduling/organizing the administrative logistics of project-related meetings and events (travel, booking rooms, room set up and materials, handling technology, catering, etc. to ensure a smooth, successful session).</li><li>Updating and project task-tracking in ClickUp.</li><li>Storing, filing, creating and organizing project folders and documents in Google Drive.</li></ul><h3>The work environment</h3>The Project Mobilizer can work from a home office anywhere in the GTA (Greater Toronto Area) with a strong internet connection and cellular reception that enables them to be available within our office hours (8am – 6pm ET) and to work confidentially, effectively, efficiently and participate in or lead tele or video conference meetings. The Mobilizer will provide their own phone and laptop with appropriate software and security applications.Our work is both virtual and in-person, and some evenings and weekend work may be required. Meetings with the Co-CEOs, Director of Operations, Project Leads and other team members will usually take place online. We maintain a virtual office to decrease isolation, host meetings and co-work.
