Title: Office Coordinator

Location: Primarily in-person at our office in New Westminster, with some remote work opportunities

Employment type: Full-time (approximately 35 hours/week); 1 year contract with possibility of renewal depending on funding

Salary: $54,707/year

Prisoners’ Legal Services is looking for an office coordinator who wants to use their skills to support the rights and dignity of people in prison.

About us:

Prisoners’ Legal Services is a non-profit society providing legal assistance to people in federal and provincial prisons in British Columbia. We also engage in strategic litigation and advocacy on the prison justice issues brought forward by our clients to achieve systemic, anti-carceral change.

We are a team of lawyers and non-lawyers who believe that no one is disposable, and who work alongside and in solidarity with incarcerated people. We witness some of the harshest forms of state violence, and use the legal system’s tools to protect our clients from the abuses and degradations of prison. About the position:

This is a new position designed to support the overall operations of PLS. Duties and responsibilities include:

Office Operations & Administration

  • Coordinate and support daily office operations and maintain an organized, welcoming workspace;
  • Manage calendars, scheduling, and logistics for meetings;
  • Provide executive assistant support to the Executive Director and Director of Legal Services;
  • Act as a back-up for Intake Workers/Administrative Assistants when they are unavailable, including answering phones, responding to general inquiries and conducting client intake using a client-centered, trauma-informed, culturally competent and anti-carceral approach;
  • Assist Operations Manager with facilities-related tasks; and
  • Assist with records management and organization, including client records and access to information requests.

Organizational & Bookkeeping Support

  • Assist with bookkeeping tasks, including collecting, organizing and processing invoices and receipts, liaising with external finance support, and other duties;
  • Assist with grant applications and reports;
  • Assist with human resources-related tasks as needed; and
  • Provide administrative support to the Board of Directors.

Technology, Communications & Events

  • Assist with office technology and coordinate with IT support;
  • Support internal and external communications, including social media and website updates;
  • Organize events and gatherings; and
  • Coordinate reports, public legal education resources, and other public-facing materials.

Qualifications & skills:

  • Excellent communication, conflict resolution and interpersonal skills and the ability to work with people in prison, lawyers, government officials, community partners and others;
  • Strong critical thinking and problem-solving skills;
  • Ability to plan, work independently, and collaborate with others;
  • Highly organized, efficient and attentive to detail;
  • Excellent judgment in matters of ethics and confidentiality;
  • Experience in an office environment;
  • Comfortable with common office technology and with learning new systems;
  • Comfort and facility with numbers; experience with bookkeeping or QuickBooks Online an asset;
  • Strong writing skills;
  • Ability to assist marginalized clients with empathy, including people with high mental health needs, people convicted of various crimes and people in distress;
  • Commitment to social justice and anti-oppression work;
  • Grade 12 education;
  • Ability to care for oneself and colleagues amidst challenging work; and
  • Experience with graphic design software or social media advocacy an asset.

Working Conditions:

This is a primarily in-person position based at our office in an elevator building in New Westminster, BC, with some opportunities for remote work. Office hours are approximately 8:30-4:30 Monday - Friday, with periodic work outside these hours. The role involves phone communication, in-person and virtual meetings, and extensive computer use. Occasional travel to prisons in the Lower Mainland and Fraser Valley and a CPIC clearance may also be required.

Each staff member has their own office within our communal office space. There is one gender-neutral accessible washroom.

This is a unionized position for a term of one year, with the possibility of renewal depending on funding.

Salary: $54,707/year, plus a comprehensive benefits package. Benefits include 20 paid vacation days, wellness days and professional development opportunities.
