THE ROLE 
 
As Philanthropy Associate you will provide administrative support to the VP, Philanthropy and other 
members of the philanthropy team. You will contribute to growing our major gifts, planned giving, 
mid-level giving, and corporate philanthropy and partnerships programs. 
 
As part of a national team, you bring a history of supporting, collaborating, and working 
successfully with remote team members. 
 
 
YOUR KEY FUNCTIONS AND ACCOUNTABILITIES 

 • Provide day-to-day administrative assistance to the Philanthropy Team including 
office-based support to fully remote employees. 

 • Coordinate philanthropy team virtual and in-person meetings including preparing 
agendas and meeting packages, logistics, taking notes and following up on actions. 

 • Support the development of streamlined internal administrative processes and 
maintain an efficient electronic filing system. 

 • Prepare expense reports, book and confirm external meetings, and assist with travel 
arrangements. 

 • Assist with mailings, including ensuring remote team members have the materials they 
need from the office. 

 • Format, review, and edit a range of reports and donor correspondence. 
 • Assist with the preparation of proposals, pitch decks, stewardship reports, briefing 

notes, and other donor materials and packages. 
 • Correspond with current and potential donors including making daily phone calls. 
 • Meticulously update and maintain donor database (Raiser’s Edge / RE NXT) records in a 

timely manner. 
 • Other duties as required. 

 
 
DESIRED QUALIFICATIONS AND REQUIRED SKILLS 

 • A combination of education and relevant work experience (preferably in the 
charitable sector). 

 • Experience in customer service and administrative support (previous experience 
supporting frontline fundraisers is a highly desired asset). 

 • Knowledge of estate administration is considered a significant asset. 
 • Well-honed organizational skills and the ability to prioritize effectively. 
 • Exceptional aptitude for digital technologies including video conferencing and 

Microsoft Office software is essential. 
 • Experience using donor or CRM databases. Raiser’s Edge NXT knowledge is an asset. 
 • A dedicated workspace with reliable internet service is a must for a hybrid position.

Position Summary 

 
Funded by the Ontario Black Youth Action Plan, the Student Family Advocate (SFA) will design, 

develop and deliver highly targeted, community-based and culturally relevant advocacy supports 

tailored to the needs of Black students and their families. The SFA will provide advocacy supports and 

1 on 1 Case Management, social programming, and community education sessions benefitting Black 

youth ages 13-25 and their families, including newcomers and those experiencing poverty, in Toronto’s 

York South-Weston and Oakwood-Vaughan communities. The long-term goals of the SFA program are 

to: 


1. Create conditions for Black student success: Black students, families and communities have 
positive and collaborative relationships with schools/education systems. Schools/education 
systems are informed by and responsive to the needs of Black students, families and 
communities, and identify and address systemic barriers to their achievement, equity and 
well-being. 

2. Address outcomes disparities: Black students are better supported and see increases in 
educational achievement and attainment/retention, including successful transitions. 

 
This will be done by carrying out the following objectives: improving the experience of Black high 
school aged youth, and Black youth transitioning into postsecondary education and connecting youth 
to specialized services (including employment support, legal support, and educational support). 
 

Main Tasks &amp; Responsibilities 

 
Program Coordination 

â Contribute to the development and maintenance of program logic models and implementation 

plans to achieve the goals of the SFA program with an understanding of the barriers youth face 

and their evolving needs 

â Develop and facilitate group programs and educational workshops for youth, 

families/caregivers, community members and educators committed to enhancing Black 

student success 

â Support FYI colleagues to supervise drop-in activities, programs and events to connect with

â Work collaboratively with all program staff to develop effective service delivery plans that

â Manage a caseload of 30-40 active youth clients and provide periodic one-on-one sessions that 

focus on developing and achieving client goals 


Administrative Duties 

â Collect the necessary documentation required in serving newcomer clients 

â Maintain comprehensive client files and case notes utilizing FYI’s database system, tools and 

procedures 

â Support training and on-boarding of program support staff 

â Provide periodic reporting updates to supervisor through Progress Update meetings and via 

Monthly Reports 

â Document work with youth and partners using organizational database 

â Support the evaluation of the program by conducting interviews, focus groups, surveys, and 

other data collection methods as needed 

â Other administrative duties as required 

 
Required Experience (2 years minimum): 
Education: 

The minimum level of education required is a community college diploma in human services and 

social studies related education (e.g. social work, child and youth worker, community work, 

psychology, etc). 


Skills, Knowledge, &amp; Experience: 

â Coordinating services in community centres and/or in different program spaces 

â Developing and maintaining organizational partnerships 

â Case Management and overseeing a client caseload 

â Coordinating programs around 

â Organizational development work, particularly with young people in a non-profit context 

â Working from an outcome-based/evidence-based programming model 

â Demonstrated ability to work in culturally diverse communities, with a particular understanding
