Outline of Organization 
The Sitka Foundation (“Sitka” or “the Foundation”) is a family foundation with a mission to 
catalyze the protection of the environment and promotion of biodiversity. Sitka achieves this goal 
through activation of its capital in philanthropy and investments. Working under CRA’s charitable 
guidelines, the Foundation grants funds to partners in service of its mission. Sitka is supported 
by the family office located in the downtown core of Vancouver, BC. 
 
Outline of Position 
We are seeking a Grants and Operations Coordinator to work with the Foundation’s 
philanthropy team to research, facilitate and support grantmaking. This is a new, full-time 
position posted at a time when the Foundation is growing in size and complexity. Reporting to 
the Executive Director, this position will be responsible for the smooth administration of 
grantmaking operations as well as coordinating events and communications for Sitka. 
 
Responsibilities include: 
As Grants and Operations Coordinator you will join a dynamic team dedicated to supporting the 
movement of philanthropic capital in efficient and effective ways that fulfill the goals of the 
Foundation. Specifically, you will be responsible for: 
 

Granting and Operations Administration (70%) 
â Work with the philanthropy team to implement all of the granting programs of the 

Foundation with an emphasis on the strategic streams (currently three). 
â Manage systems to track the entire lifecycle of the grantmaking process, as well as 

preliminary research, eligibility, application support, and data management, and 
reporting, tracking and evaluation. 

â Provide administrative support for quarterly granting cycles through robust management 
of pre- and post- award administration as well as the preparation of Board meeting 
materials and logistics. 

â Support the Director of Operations to execute the Foundation’s annual workplan and 
internal checks and audits as well as historic data projects and administrative tasks. 

â Review grantmaking documents (letter, contracts, templates) alongside the philanthropy 
team to ensure systems are compliant with policies, procedures, and match budget and 
funding allocations as well as other operational workflows (all digital). 

â Contribute to the development, optimization and implementation of initiatives that 
streamline workflows, templates, etc., to enhance the Foundation’s tools to make more 
efficient and effective philanthropic work which is the heart of the organization. 

â Ensure compliance with CRA’s charitable rules and regulations. 
 

Communications and Learning (30%) 


 
â Support the philanthropy team with Board, internal and external communications, 

meetings, and special projects. 
â Manage the general communications for the Foundation, such as newsletters, impact 

reports, the website, event invitations and social media. 
â Support Sitka’s learning, monitoring and evaluation of its philanthropic program. 
â Help to share the Foundation’s programmatic updates with grant- and community 

partners through storytelling and communications. 
â Lead the planning of events to celebrate learning opportunities and amplify impact. 
â Represent the Foundation at conferences, events, and other gatherings. 
â Other tasks assigned by the family office and Foundation team, as needed. 

 
Position Requirements 

â Currently legally eligible to work in Canada. 
â Four years in the philanthropic, charitable or not-for-profit sector 
â Post-secondary degree 
â Exceptional writing, organizational, administrative, and interpersonal skills 
â Experience with social media management and communications 
â Website management experience preferred though not required 
â Facilitation or convening experience 
â Passion and intellectual curiosity for climate change and biodiversity solutions 
â Flexible, collaborative, willing to adapt to changing priorities 
â Open to working in a dynamic and small team environment 
â Proficiency in Google Suite, Microsoft Office, other digital tools 
â Experience with Grants and/or Customer Relationship Management Software (we use 

Fluxx and 4Degrees) is beneficial but not required 
 
Compensation and Benefits. The position is based in a family office in downtown Vancouver. 
Some travel may occasionally be required. Compensation (in the range of $62,500-$85,000) is 
commensurate with experience and includes a health benefits package and paid vacation.

The OrganizationShelter Movers is a national, volunteer-powered charitable organization providing moving and storage services at no cost to individuals and families fleeing abuse. We collaborate with local businesses and community agencies to support people, primarily women and children, as they transition to a life free of violence.Volunteering at Shelter Movers means contributing to a mission that will make a meaningful impact on families experiencing abuse and supporting survivors as they transition to a life free of violence. It also means playing a role in ending gender-based violence. We are growing and looking to add caring, compassionate, and dependable people to our team.The RoleMovers and Drivers are the backbone of the organization, as they carry out the mission on the ground by moving clients’ belongings to safety. In a group of 2-7 movers/drivers, guided by a detailed itinerary, volunteers will load/unload the client’s belongings into a vehicle and transport the client to the predetermined location. Rental vehicles are provided for the move, and movers who have a valid driver’s license are welcome to register as drivers. &nbsp;This is a great opportunity for someone who wants to make a significant impact through volunteering their time in a hands-on capacity for small chunks of time. The duration of each move varies, with an average of about 4-4.5 hours long from the vehicle rental pick-up time. Each move will be characterized based on the risk level and accordingly be escorted by local police, security guards, or neither. Fall Session starts in September!Volunteers are needed to lead horses or side-walk for riders with special needs. No prior horse experience necessary. As a leader you need the ability to understand &amp; carry out direct instructions. As a side-walker you need to comprehend instructions &amp; pass them onto the rider &amp; may also need to physically assist/support the rider. Both positions require physical endurance, verbal skills, &amp; excellent English comprehension. Volunteers must be 15 yrs or older.&nbsp;We run seasonal riding sessions of 8&nbsp;weeks in length. Classes are 60 minutes each and run on Monday-Thursday daytime&nbsp;and evenings and&nbsp;Saturdays. Volunteers arrive 30 min ahead of time to prepare horses. The Huron-Perth Centre is an accredited child and youth mental health Centre mandated 
to provide services to children and youth from birth to the age of eighteen, including 
caregivers, parents and families. We are a small organization, nestled in a beautiful mix of 
rural, urban and beach surroundings with several hiking trails nearby. 

Funded by the Ministry of Health and the Ministry of Children, Community and Social 
Services, we are the Lead Agency for Huron and Perth, responsible for the delivery of child 
and youth mental health core services, collaborative service planning as well as providing 
youth justice, violence against women and services dedicated to child welfare.

meeting. We have access to various consultants in Human Resources, Organizational 
Health, EDI, and Organizational Effectiveness, as required, to support our leadership team, 
our annual work plan, and our capacity to meet our strategic directions.

About Sojourn House Sojourn House provides shelter and support for refugees to ensure their safe and successful transition into our community. Sojourn House opened in 1987 as one of the first refugee housing facilities in Toronto, and we take pride in being a leading organization in refugee care. In 2024, Sojourn House served over 500 refugees from 28 countries. Toronto is seeing an unprecedented influx of refugee claimants amid a housing and affordability crisis. The Dish With One Spoon is a treaty between the Anishinaabe, Mississaugas and Haudenosaunee.Together with campus partners and the broader community, CCF provides education, case management and advocacy to foster a world free from gender-based violence. CCF creates opportunities for students affected by violence to cultivate safety, healing and leadership on their own terms. We believe that students affected by sexual and gender-based violence should guide their healing process and we are here to listen and provide options in a trauma-informed way. We know that survivors are targeted for, heal from, and address sexual violence and gender-based violence differently as this is shaped by their intersecting social locations, e.g. class, sexuality, citizenship status and gender expression. Our services are available to all students of the TMU community regardless when and where the violence occurred.&nbsp;The OpportunityThe successful candidate will have a dual role within the Consent Comes First (CCF) office at Toronto Metropolitan University. As part of their responsibilities, they will take the lead in supporting SafeSay, a new anonymous disclosure platform launching in 2026 that provides confidential information and guidance to TMU students affected by sexual violence and gender-based violence (SV/GBV). SafeSay is not a reporting mechanism, but rather a low-barrier support option that allows students to explore their rights, available services, and possible next steps on their own terms. The successful candidate will host the platform for part of their week, with the support of the CCF team, and help shape best practices in anonymous, trauma-informed support. The remainder of the role involves providing direct support to students through case management services. Under the guidance of the Associate Director, this position plays a critical role in fostering a campus where consent comes first and survivors are supported with care, dignity, and respect.
