THE ROLE
Reporting to the CEO, the Program Coordinator is the friendly force behind the scenes, providing event and administrative support across our key program areas and helping launch high-impact programs for the Grimsby and surrounding Niagara community.
Working closely with internal teams and external partners, you’ll help develop, implement, and evaluate initiatives in both virtual and in-person settings. You’ll be the go-to person for seamless event planning, smart scheduling, and an exceptional participant experience while helping grow The Volunteer Well’s community presence through strong relationships with government agencies, non-profits, and other stakeholders.
If you’re organized, detail-loving, and can juggle multiple priorities without breaking a sweat (or at least while smiling through it), this role is for you.
WHAT YOU’LL DO
Event & Program Coordination
- Plan, organize, and support events and programs with internal and external stakeholders.
- Coordinate event logistics, including venue booking, catering, AV setup, and scheduling.
- Ensure high-quality program delivery in both virtual and in-person environments.
- Keep program and event calendars accurate and up to date.
- Be the primary point of contact for event-related inquiries (a.k.a. the person with all the answers).
Administrative & Scheduling Support
- Schedule and coordinate meetings, events, and day-to-day project activities.
- Track and report key program metrics.
- Verify and update event schedules as needed.
- Help oversee the hiring of independent consultants — fitness instructors, art instructors, digital literacy educators, and language literacy teachers.
Stakeholder & Partner Engagement
- Facilitate communication and coordination with government agencies, non-profits, and community organizations.
- Support strategic initiatives by managing project tasks and collaborating with stakeholders.
- Solve problems within your scope and escalate concerns when needed.
Marketing & Communications
- Develop content for marketing materials and promotional campaigns.
- Draft internal and external communications that get people excited about our programs.
GOOD TO KNOW
- This is a remote-first role based in Grimsby. Occasional travel within the area for in-person events may be required, so access to reliable transportation is a plus.
- Occasional evening and weekend availability may be needed for events (that’s where the magic happens!).
- All you need is a computer, reliable internet, and a can-do attitude.
