Nous sommes un organisme communautaire à but non lucratif, gérés par des femmes, qui offre écoute, soutien, hébergement et accompagnement dans une approche globale et personnalisée.Notre mission :<ul><li>Favoriser l’autonomie des femmes et la reprise de pouvoir sur leur vie ;</li><li>Défendre et promouvoir leurs droits ;</li><li>Revendiquer ces droits auprès des instances politiques, économiques et du réseau de lutte contre la violence faite aux femmes.</li></ul>Sous la direction générale, l’adjointe à l’administration assure le bon fonctionnement des deux maisons, en lien avec les orientations du Centre Mechtilde, en veillant aux opérations quotidiennes, à la gestion administrative et à la qualité des services offerts.SOMMAIRE DES RESPONSABILITÉS&nbsp;L’Adjointe à l’administration fait preuve de professionnalisme et d’expertise en matière de soutien administrative et de tenue de livre. Elle est principalement responsable&nbsp;d’effectuer les tâches à l’administration et à la comptabilité du Centre Mechtilde et de la Maison Marie Jacque. Elle est responsable d’effectuer des tâches relatives à la paie, la tenue de livres et des ressources matérielles. L'Adjointe à l’administration prépare et communique de l'information dans le but de supporter la directrice générale dans une prise de décision rationnelle et objective.&nbsp;ADMINISTRATION DES DOSSIERS DES LOCATAIRES<ul><li>Accueil de nouvelle locataire</li><li>Ouverture du dossier de la locataire</li><li>Compléter l’annexe des coûts de loyer, et autres</li><li>Compléter le PPA (Paiement préautorisé)</li><li>Assurer que la locataire a une assurance</li><li>Si la locataire a un ou deux chats maximum, obtenir la preuve de stérilisation et vaccin</li><li>Demande le dépôt pour clés et lui remettre</li></ul>ADMINISTRATION DES DOSSIERS DU PERSONNEL&nbsp;<ul><li>Accueil du nouveau personnel</li><li>Ouverture du dossier de l’employé.e</li><li>Compléter formulaire d’embauche</li><li>Compléter formulaire pour vérification policière et pièces d’identité</li><li>Inscription au niveau du service de paie Desjardins et formation</li><li>Faire en sorte que l’employée obtienne une adresse courriel du Centre</li><li>Explication des avantages salariale, réer, assurance collective si applicable, congés, etc.</li><li>Programmer le nouveau personnel sur le photocopieur</li><li>Envoi de courriel pour embauche au Syndicat</li><li>Tenir à jour les données personnelles pour les employé.e.s</li><li>Tenir à jour la liste d’ancienneté</li><li>Envoi aux 3 mois des cumulatifs au niveau des vacances, maladies, etc.</li></ul>FINANCE&nbsp;Comptabilité générale<ul><li>Effectuer les entrées dans Simple Comptable (coûts salariaux, travailleurs autonomes, paiements de locataires, dépenses, etc.).</li><li>Vérifier les factures des fournisseurs, consultants, travailleurs autonomes et employées (demandes de remboursement incluses).</li><li>Effectuer les paiements (par chèques, Accès D, service de paie).</li><li>Faire les transferts de dépenses entre comptes.</li><li>Gérer la petite caisse (pour plusieurs responsables).</li><li>Préparer et aller faire les dépôts.</li><li>Suivi et récupération des revenus provenant des laveuses-sécheuses.</li><li>Suivi des contributions de réserve demandées par la SHQ.</li><li>Demandes de remboursement TPS/TVQ.</li><li>Assurer la préparation des documents comptables pour l’audit annuel.</li><li>Effectuer la conciliation bancaire pour les différents comptes.</li></ul>Budgets et subventions<ul><li>Préparer les budgets et effectuer les suivis avec l’appui de la directrice.</li><li>Préparer les demandes de subvention et les redditions de comptes aux bailleurs de fonds.</li></ul>Gestion de la paie et obligations fiscales<ul><li>Vérifier les feuilles de temps en lien avec l’horaire.</li><li>Assurer la disponibilité des feuilles de demande de congés.</li><li>Entrer les heures dans le tableau Excel et mettre à jour celui-ci après chaque paie.</li><li>Bloquer la saisie des feuilles de temps, confirmer les ajustements, transférer les données à la paie (Desjardins), ajouter manuellement les vacances et transmettre la paie.</li><li>Imprimer et archiver les documents de paie via Desjardins.</li><li>Consigner les heures et salaires payés dans divers documents de suivi (utiles pour les demandes de subvention et déclarations gouvernementales).</li><li>Suivre et calculer les banques de temps (vacances, maladies, temps social, temps cumulé dans Desjardins).</li><li>Préparer et envoyer la liste d’ancienneté trimestrielle.</li><li>Vérifier la conformité des T4, T4A et relevés 1.</li><li>Préparer les cessations d’emploi.</li><li>Suivre les déductions à la source et transmettre les documents à l’exécutif du CA.</li><li>Déclarer les salaires à la CNESST.</li><li>Remplir la déclaration de personne morale et envoyer annuellement les formulaires d’organisme à but non lucratif.</li><li>Compléter et envoyer la trousse employeur à Revenu Québec chaque année.</li></ul>Suivi locatif (Maison Marie Jacque)<ul><li>Émettre les factures mensuelles aux locataires dans Simple Comptable.</li><li>Envoyer le fichier à la banque pour les paiements préautorisés.</li><li>Suivre les paiements reçus et inscrire les montants dans Simple Comptable.</li><li>Produire un tableau Excel pour le suivi des loyers (pour la SHQ et la comptable).</li><li>Gérer les retours de paiements préautorisés (avis aux locataires, suivis).</li></ul>ADMINISTRATION GÉNÉRALE<ul><li>Voir à l’administration du matériel et des ressources physiques pour les opérations de la maison&nbsp;</li><li>Préparer différents rapports, à la demande de la direction générale et en soutien au Conseil d’administration</li><li>Assister à la préparation et soumission des rapports mensuels, trimestriels ou/et annuels des bailleurs de fonds</li><li>Faire les demandes de soumissions ou recevoir de devis pour les achats d’équipements, de systèmes informatiques ou téléphoniques, d’entretien majeur et rénovations</li><li>Faire le suivi des dossiers d’assurances, d’assurances collectives et tous autres avantages sociaux</li><li>Appuyer le conseil d’administration à titre de personne-ressource</li><li>Appuyer le travail du conseil d’administration et l’Assemblée générale annuelle en coordonnant les réunions et en assurant la gestion du processus électoral</li><li>Entretenir un système de classement de l’information efficace et gestion efficace des ressources matérielles et financières (la tenue de livres/la paie informatisée)</li><li>Avoir une aisance à travailler en équipe qui se manifeste par une facilité de communiquer&nbsp;</li><li>Posséder de fortes compétences en comptabilité et administration de bureau&nbsp;</li><li>Démontrer du professionnalisme et des capacités pour agir avec tact et
