Location: Fully remote, out of BC, AB or Ontario; 1-2 in person meetings required each year.

Employment Type: 0.8 FTE- 32 hours per week for 16 month contract with possibility of renewal

We are currently looking for a Senior Operations Lead who thrives in a dynamic, fast-paced work environment with many moving parts.

The Mission

The Senior Operations Lead is the operational engine of the organization, responsible for maintaining smooth administrative infrastructure, driving internal efficiency, and fostering an inclusive workplace culture. This role bridges strategy and execution- managing internal HR, project and technology ecosystems, driving key operational workflows such as OKR tracking, contract management, and event planning, and supporting varying reporting processes (Board, grants, external stakeholders),

You will be leading day-to-day operations, removing friction, and ensuring follow-through on key objectives. You will need a varied skill set and the ability to jump in and take initiative across multiple domains. This job will require you to follow-up on small details and gaps in operations through to seeing large initiatives to completion. You have a high sense of ownership for the end result, no matter the size or scale of the task and a particular attention to detail and organization.

Key Responsibilities

Core Operations & Logistics (30%)

  • OKR & Deliverable Tracking: Support and monitor organizational OKR (Objectives and Key Results) tracking systems, driving monthly/quarterly progress reviews.
  • Contract Management: Organize, track, and maintain a centralized registry of all active vendor, partner, and consultant contracts, ensuring timely renewals and compliance.
  • Meeting & Event Management: Plan logistics for key in-person gatherings (venue booking, travel, agendas, tech setup, vendor catering).
  • Process Improvement: Identify operational bottlenecks and implement streamlined processes across departments.
  • Business Continuity: Manage oversight of key accounts, access and passwords, and see through the ongoing BCP process.

HR, Culture & Talent Operations (20%)

  • Employee Lifecycle: Oversee end-to-end onboarding and offboarding workflows, ensuring new team members are smoothly integrated.
  • Policy Development & Compliance: Update and maintain internal HR policies, employee handbooks, and compliance documentation.
  • Staff Tracking & Records: Manage leave tracking, certifications, performance review timelines, and employee files.
  • Culture Initiatives: Support the design and execution of internal culture initiatives, team-building events, and staff engagement programs that support a positive work environment.

Administration & Vendor Management (20%)

  • Vendor Management: Serve as the primary point of contact for external technology software, hardware, and service providers; evaluate costs and contract terms annually.
  • Tech Administration: Handle basic internal administrative tasks for key core systems (e.g., Google Workspace,, Slack, HRIS, CRM).
  • Account Access Management: Manage credentials, user permissions, multi-factor authentication, and secure password vault access for all staff across company systems.
  • Admin & Scheduling: Broad range of administrative tasks and group scheduling components.

Reporting & Governance (20%)

  • Board & External Reporting: Coordinate, compile, and format quarterly board packets, annual operational updates, and key external stakeholder reports.
  • Grant Reporting & Compliance: Partner with program leads to track grant deliverables, gather impact data, and write operational/administrative sections of grant reports.
  • Funding Dashboards: Maintain operational dashboards to ensure leadership has clear visibility into funding progress.

Qualifications & Experience

  • Experience: 5+ years in operations, business operations or project leadership.
  • Educational Requirements: diploma or degree in a related field
  • Communication Mastery: Outstanding written and verbal communication skills; ability to distill complex operational concepts into clear, actionable guidance.
  • Adaptability & Ownership: High autonomy, low ego, and comfort navigating ambiguity to turn loose ideas into structured action plans. Willingness to take on small to large tasks and projects.

What We Offer

  • Competitive Salary: $90,000-95,000, prorated to 0.8FTE
  • Hours of work: 4 or 5 days per week, with availability in PST hours.
  • Time Off: 4 weeks per year plus holiday closure period.
