About the Role
Hearth Place is seeking a detail-oriented Finance Coordinator to join our team. This role is perfect for a financial professional who thrives on accuracy and wants to play a key part in the operational success of a grassroots non-profit. You will ensure our financial systems are robust, transparent, and fully compliant with CRA regulations and Canadian Accounting Standards for registered charities. At Hearth Place Cancer Support Centre, your work directly supports individuals and families navigating cancer, so every reconciliation, every entry and every report truly matters.
Reports to: Executive Director
Key Responsibilities:
- Full-Cycle Bookkeeping: Manage accounts payable/receivable, monthly bank and credit card reconciliations, and prepare and process bank deposits, ensuring accurate ledger reconciliation.
- Charitable Compliance: Lead the preparation and filing of the Annual Registered Charity Information Return (T3010) to ensure charitable status remains in good standing.
- Tax Receipting: Issue official donation receipts in strict compliance with Canada Revenue Agency (CRA) guidelines.
- HST Rebates: File Public Service Bodies' (PSB) Rebate applications to maximize recovered funds.
- Payroll & Year-End: Process bi-weekly payroll for a staff of 12, issue Record of Employment (ROE) forms as required, and prepare annual T4 and T4A slips.
- Board & Financial Reporting: Prepare accurate monthly financial statements and quarterly reports for the Executive Director and Treasurer to support the Board of Directors.
- Fundraising Support: Prepare, track, and reconcile revenue and expenses from fundraising events and campaigns.
- Audit Preparation: Coordinate seamlessly with external auditors by gathering requested documentation, reconciling discrepancies, and ensuring adherence to Canadian accounting standards for not-for-profit organizations.
- Risk Management: Track and verify that all specialized Service Practitioners maintain current professional registrations and liability insurance.
- Policy Support: Assist in implementing, monitoring, and maintaining financial Standard Operating Procedures (SOPs) and internal controls.
Qualifications
- Experience: 5 years of full-cycle bookkeeping experience, with specific, direct experience within the Canadian and Ontario charitable and/or non-profit sector.
- Technical Compliance: Direct experience successfully filing T3010S and HST/PSB Rebate applications.
- Accounting Frameworks: Strong foundational knowledge of ASNPO (Accounting Standards for Not-for-Profit Organizations).
- Software Proficiency: Advanced proficiency in QuickBooks Online, full Microsoft Suite including advanced Microsoft Excel skills.
- Skills: Exceptional data analysis, reconciliation skills, and meticulous attention to detail.
- Attributes: A high degree of integrity, discretion, and experience maintaining professional boundaries in a compassionate, sensitive environment, as well as the ability to work independently and keep financial records organized and audit ready.
Working Conditions
- The Finance Coordinator will work (on-site) 2.5 days per week (20hrs).
- Compensation: The hiring range for this position is $26-31 per hour commensurate upon experience.
