POSITION DESCRIPTION

TITLE: Manager, Camps & Communications

DATE: July 11, 2026

The Manager, Camps & Communications is a key member of the Hemophilia Ontario (HO) team, responsible for providing various options of camp programming for people with inherited bleeding disorders and their families. The role works closely with members, volunteers, Hemophilia Treatment Centres (HTCs), clinics and HO staff team members to identify potential participants and connect individuals and families with appropriate Hemophilia Ontario supports to assist in attendance. The Manager is also accountable for the oversight, ongoing maintenance and updating of the HO website and all social media platforms. Th manager e is expected to contribute as a cooperative, positive, and solutions-focused team member, working collaboratively with colleagues and volunteers to advance Hemophilia Ontario’s mission of improving the health and quality of life of people with inherited bleeding disorders.

Program Management & Delivery

  • YAMP (Youth Adventure and Mentorship Program): Plan and execute multiple YAMP events, including winter and summer sessions. Oversee mentorship activities, leadership training, and participant engagement.
  • Just the Dads: Organize and facilitate this event, including securing speakers, overseeing logistics, and building programs for both fathers and youth. Consider expanding this program to other areas.
  • Wanakita Summer Camp: Manage all aspects of the camp — recruitment of participations ensuring year over year growth, registration, promotion, onsite programming, and staff supervision.
  • Community Camp: Support planning and execution, focusing on community engagement and program development. Consider new areas to offer this program.
  • Community Days: Support planning and execution in four Ontario Regions, focusing on community engagement and program development.
  • Participant Recruitment: Develop and run recruitment strategies for each camp to ensure camps run at capacity.
  • Camp Committees: Manage volunteer camp committee operations — participant recruitment, meeting schedules, agendas, and performance evaluation.
  • Facilities: Research, tour, and secure host facilities based on accommodation, capacity, program potential, health and safety, and value.
  • Staffing: Hire, supervise, and evaluate camp staff and volunteers, including developing interview questions, grading formulas, and employment letters.
  • Training Programs: Develop training programs for each camp in cooperation with HTCs, host camps, and volunteer committees.
  • Spokesperson: Act as the organization's spokesperson for camp-related inquiries and external communications
  • Camp Materials: Develop marketing/promotional materials, registration forms, health and evaluation forms, training guides, program guides, and participant information packages.
  • Medical Support: Ensure nursing/medical requirements and back-up plans are in place with HTCs for all camps; report any medical shortfalls to the Executive Director immediately.
  • Donor Recognition: Fulfill donor recognition requirements — logo placement, final program reports, website content, engagement opportunities, and participant testimonials.

Communications & Website

  • Website: Source, select, install and maintain a new website platform for HO – ensure user-ease, accuracy and currency.
  • Social Content Creation: Plan, design, and publish original content for Instagram and Facebook on a weekly basis — graphics, photos, captions, and event/program promotion.
  • Annual Calendar: Maintain the annual operating calendar for all camps — operating dates, registration windows, locations, and participant criteria.
  • Member Management: Monitor and respond to messages, comments, and inquiries across all social media channels.
  • Website Maintenance: Update plugins and core software regularly to keep the website secure and functioning properly; monitor overall site performance and troubleshoot issues as they arise.
  • Website Content Creation: Design graphics, banners, and promotional posts for the website to support campaigns, events, and announcements.
  • Website Housekeeping: Review the site on an ongoing basis and remove outdated content, keeping information current and accurate.
  • Member E-Blast: Collect, curate, and distribute updates from all departments to members and stakeholders.
  • Cross-Platform Promotion: Promote camp programs as well as other Hemophilia Ontario programs, events, and news items across all social platforms.
  • Promotional Materials: Create promotional materials for camps and other organizational events.

Administration & Finance

  • Budgeting: Prepare individual camp budgets (revenue, expenses, staff cost allocation) for Executive Director and Board review, due end of October for the November Board meeting.
  • Quarterly Reporting: Prepare quarterly updates on each camp's status. Revenue, expense, registration, program, and staffing, and complete camp evaluations.
  • Grants: Research and apply for government and foundation grants related to camp programs; prepare all reports and evaluations required by granting organizations.
  • Program Evaluation: Prepare evidence-based evaluations for each camp program against stated objectives and outcomes.
  • Policies & Insurance: Ensure policies and insurance meet Ontario Camping Association standards; review and update annually following each camp season.

Education & Experience

  • Post-secondary education in nonprofit management, communications, education, or a related field is an asset. An equivalent combination of education, employment experience, volunteer leadership, lived experience, and community involvement will be considered.
  • Demonstrated experience in camp planning, execution, and oversight is highly valued and will be given significant consideration, particularly experience involving program development, participant recruitment, staff and volunteer supervision, health and safety planning, logistics, evaluation, and continuous improvement.
  • Relevant education in recreation, child and youth work, social services, communications, non-profit management, community development, or a related field is an asset; however, equivalent hands-on experience in camp or community-based program leadership may be considered of greater relevance to this position.
  • Candidates should bring practical talents and skills aligned with the role, including strong organization, sound judgment, relationship-building, written and verbal communication, digital communication and website development, problem-solving, budget awareness, volunteer coordination, and the ability to manage multiple priorities in a small-team environment.
  • Experience working or volunteering with an Ontario non-profit, charity, health-related organization, camp organization, or community-based program is considered an asset, particularly where the work involved collaboration with families, volunteers, healthcare partners, donors, and diverse communities across Ontario.

Other Duties as Assigned

Perform other duties as assigned by the Executive Director that are consistent with the purpose and responsibilities of this position and support the effective operation of Hemophilia Ontario.
