Position Summary: The Manager of HR & Administration will be responsible for the well-being of the OCAD Student Union (OCAD SU) by overseeing operations to ensure the effective and efficient delivery of services to OCAD University students. This position manages a team of part-time staff positions and provides guidance to a Board of Directors composed of 12 seats.

Reports to: OCAD Student Union Board of Directors
Board Liaison: Executive Director of Operations
Supervises: Management, Administrative Coordinator, Communications Coordinator, Events Coordinator, all short-term and additional part-time positions, Hot Lunch Coordinator and Staff
Working Relationship: OCAD Student Union Executive Directors, Board of Directors, Management staff and all other staff and contractors of the OCAD Student Union.
Salary & Hours of Work:
$35.22 per hour for 30 hours per week ($55 000 per annum), with annual inflation and seniority increases. Thirteen (13) paid personal days per year, 4 weeks vacation, an annual professional development allotment of $1,500 and comprehensive health and dental benefits at no cost to the employee. Hours of work are flexible, scheduled between the hours of 9:00am - 6:00pm, Monday to Friday. The successful candidate is expected to work at least 3 days per week in office.
Responsibilities:
The Manager of HR and Administration is responsible for the following and may delegate work to carry out these responsibilities where appropriate.
50% - Human Resources & Staff Management
- Oversee Hiring Committees for all Student Union staff and contract positions in conjunction with the Director of Operations;
- Oversee work of all employees working for the OCAD Student Union;
- Provide training, support, and advice to OCAD Student Union Executives and staff with respect to employee standards and human resources policies;
- Conduct initial and annual performance evaluations of all employees and Executive team members alongside with the Director of Operations or appropriate supervisor;
- Develop work plans and strategies to address personnel issues; serving as the first point of contact in mediating conflict, disciplinary action, workplace accommodations etc, in consultation with the Social Justice & Accountability Committee;
- Oversee any workplace investigations of conflict, misconduct or any workplace matters;
- Check in with Finance Manager, Manager of Advocacy Services, and other staff about their workload;
- Work to assist the ordering, management and financial monitoring of the Student Pantry and Community Fridges Program;
- Schedule office hours and working hours with Managers, Executives, and other staff;
- Oversee the Professional Development Committee, as Chair, identifying opportunities for professional growth for Student Union employees and providing mentorship and advice;
- Write, update, and implement job descriptions, job posts, and employee contracts;
- Attend regularly scheduled meetings: Staff meetings, Executive meetings and Board meetings;
- Directly supervise, via regular check-in, monitor and administer the Hot Lunch Program;
- Work with the Hot Lunch Coordinator and Food Security Committee to regularly assess the needs, gaps and opportunities for collaboration in the Hot Lunch Program.
30% - Operations and Administration
- Implement By-Laws, policies, and procedures in consultation with the Manager of Advocacy Services, Finance Manager, Director of Operations and Executive Committee;
- Develop and maintain annual operations calendar mapping out critical cycles and projects throughout the fiscal year;
- Ensure the smooth operation of OCAD Student Union events, Board and staff initiatives, programs, and services on campus, such as the OCADSU free legal advice service, student advocacy services, food security initiatives, annual orientation, student grant programs;
- Make purchases for office;
- Serve on organizational, departmental, and campus committees as needed or required, pending approval of the OCADSU Board of Directors;
- Communicate with University administration and offer feedback on OCAD University policies and initiatives;
- Maintain set weekly hours dedicated to administrative work;
- Maintain a safe, inclusive work environment that upholds the OCAD SU “Safe(r) Space” mandate; Coordinate conflict resolution where needed; Conduct on-the-ground logistical work in support of Student Union services, events, and campaigns;
- Oversee the administration of the OCADSU Student Health and Dental plan, and help to address any escalated cases not covered by those responsible for administering the plan;
- Schedule monthly and semesterly meetings with relevant OCAD University Stakeholders.
20% - Corporate Affairs, Governance & Board Support
- Work with the Manager of Advocacy Services in drafting and developing By-Laws and policies of the corporation for OCAD Student Union Board of Directors approval; set timelines for policy approval;
- With the support of the Managers of Advocacy Services and Finance, ensure the OCAD Student Union is in compliance with legislative requirements and where deficiencies are noted, develop strategies to address compliance issues and advise OCAD Student Union Board of Directors in remedying deficiencies, i.e. employee standards;
- Work with the Manager of Finance to help complete annual audits;
- Advise the OCAD Student Union Board of Directors on matters pertaining to corporate affairs, governance practices, and general University issues;
- Coordinate administrative support for meetings of the OCAD Student Union Board of Directors and for General Meetings of the Membership;
- Coordinate annual training for Board of Directors in conjunction with the Manager of Advocacy Services;
- Coordinate the Elections and By-Elections process with the Elections Committee including hiring of Chief Returning Officer;
- Act as a resource, providing advice and support to OCAD Student Union Board members, Committees and Student Groups.
Qualifications
Candidates must possess the following skills, qualifications and experience:
- Post Secondary Education in Relevant Fields, or a combined lived/work experience will be considered
- Knowledge of Student Union Governance, Board of Directors-Employee Relationships and Post Secondary Student Affairs is required
- CHRP or CHRL Designate an asset, but not required
- Knowledge of Student/Group Health and Dental Plan Management Experience an asset, but not required
- Minimum 2 years experience in business administration and/or Not-for-Profit management and/or related experience;
- Knowledge and experience working in an anti-oppressive framework;
- Working knowledge of legislation affecting federally incorporated Not-for-Profit Corporations;
- Thorough working knowledge of various components in Not-for-Profit corporate governance, such as strategic planning, By-Law and policy development and assessment, facilitating work of the Board of Directors, Board relations, committee structures etc;
- Intermediate level of financial literacy and planning;
- Intermediate level of experience with administrative practices and procedures, with an eye for introducing improvements and best practices;
- Experience in resource allocation, leadership modelling, and the coordination of people and resources;
- An ability to motivate, develop, and direct people as they work, identifying the best people and skill set for a project;
- Knowledge and experience of personnel recruitment, selection, training, compensation and benefits, labour relations and negotiations within an anti-oppressive framework;
- The ability to monitor and assess one’s own performance, as well as the performance of other individuals, and/or organizations in order to make improvements or take corrective action as required;
- Critical thinking skills and the ability to make decisions in a fast-paced environment, the ability to anticipate the costs and benefits of potential actions and being able to choose as well as advise on the most appropriate direction;
- Excellent oral and written communication and comprehension skills, and the ability to discern which information is most vital to communicate at an appropriate time;
- Strong interpersonal and conflict resolution skills;
- Excellent time management skills with the ability to multitask, manage one’s own time and the time of others.
