LeBlanc (& co.) Communications is a social impact communications agency. We partner with movements, nonprofits, labour, philanthropy, and values-driven organizations to advance justice through communications and design. Our core services are strategy, campaigns, branding, websites, and communications and media training.

Role Summary

The Administrative Coordinator plays a key role in supporting the day-to-day operations of a fully remote creative agency. This position is responsible for coordinating administrative processes, supporting leadership and project teams, supporting internal communications, and helping ensure that agency operations run efficiently. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable working in a collaborative virtual environment.

Reports to: Director of Operations

Job Activities

Administrative Support

  • Coordinate daily administrative activities across the agency
  • Manage calendars, schedule meetings, and coordinate appointments across multiple time zones
  • Prepare meeting agendas, record meeting notes, and track action items
  • Coordinate travel logistics
  • Support the Director of Operations and CEO with admin and coordination related to business development
    • Researching potential leads and procurement opportunities
    • Reviewing RFP platforms for opportunities
    • Gathering sales data
  • Basic data entry and record-keeping
    • Includes review and reporting on time tracking data for staff and projects
  • Support the CEO with calendar and inbox management
  • Support continuous improvement of administrative workflows and operational processes

Financial Administration

  • Support the Director of Operations with financial admin
    • Assist with invoice preparation, expense tracking, and purchase orders
    • Maintain organized financial records and support bookkeeping processes
    • Support the Director of Operations in creating financial reports
    • Support the development of proposals and quotes

Project Support

  • Support the Director of Operations and Project Leads with client project management
    • Review Asana and set up projects
    • Assist with scheduling, resource coordination, and administrative follow-up
    • Support project documentation, proposals, contracts, and presentations as needed
    • Track project deadlines and help ensure deliverables remain on schedule.
    • Coordinate with outside vendors
  • Support the Director of Operations with internal project management
    • Internal projects include but are not limited to coordinating case studies, marketing efforts, awards submissions, and operations improvements as led by the Director of Operations

Key Skills

Required:

  • Strong organizational, time management, and multitasking skills
  • Strong communication skills, both written and verbal
  • Ability to read and create spreadsheets
  • Initiative and problem-solving skills
  • Experience using collaboration and project management tools such as Asana, ClickUp, Monday.com, Notion, Slack, or similar platforms.
  • Experience successfully collaborating across remote teams

Desirable but not required:

  • Experience in social impact work (nonprofit, labour, philanthropy, public sector, etc.)

Key Details:

Annual Salary: $70,000

Work hours: Full-time.

LeBlanc (& co.) Communications has a 4-day (32-hour) work week for salaried employees, from Monday-Thursday.

Vacation: We provide 4 weeks vacation per year; plus a company shutdown between Christmas Eve and New Year’s.

Location: This role will be hybrid in Canada with a mix of primarily virtual and some in-person work.

Contract Length: Permanent.

Health Benefits: This position will come with a partial subsidy of health benefits.

This position requires the ability to work in Canada.

The Director of Operations is dedicated to providing training and guidance related to this role.
