About Us:
The Don't Go Hungry Program is a community-based initiative that provides food assistance to individuals and families in need.
We aim to combat food insecurity in the Burnaby area by offering a respectful and dignified environment for our clients. We are seeking a people-focused and organized Volunteer Coordinator to support and strengthen our volunteer experience each week.
Position Overview:
The Volunteer Coordinator plays a key role in ensuring a positive, efficient, and well-organized volunteer experience. This role focuses on volunteer onboarding, scheduling, communication, and engagement. By building relationships with volunteers and understanding their strengths, the coordinator helps create an effective and supportive team environment that directly impacts the success of weekly food distribution. The person in this role will collaborate with the existing Volunteer Coordinator in a leadership capacity, taking ownership of the process.
Key Responsibilities:
Volunteer Management & Engagement:
- Learn and manage the volunteer platform for onboarding, scheduling, and attendance tracking
- Support onboarding of new volunteers, ensuring they feel welcomed, informed, and set up for success
- Build relationships with volunteers by learning names, strengths, and station preferences
- Help match volunteers to roles where they can be most effective and engaged
- Support volunteer stewardship efforts to improve retention and overall experience
On-Site Coordination (Saturdays):
- Be present on Saturdays to support volunteer check-in and onboarding
- Act as a point of contact for volunteer questions and support throughout the shift
- Observe volunteer performance and provide feedback or guidance as needed
- Collaborate with Site Coordinators to ensure all stations are staffed
Scheduling & Communications:
- Can work with co-coordinator for drafting and maintaining volunteer schedules
- Send weekly Friday communications, including updates, reminders, and shift details
- Ensure volunteers are informed of expectations, changes, and opportunities
Reporting & Administration:
- Track and report end-of-day volunteer metrics (number of volunteers and total hours)
- Maintain accurate and up-to-date volunteer records within the platform
Additional Support:
- Identify opportunities to improve volunteer processes and experience
- Assist with developing simple onboarding or training materials if needed
Qualifications:
- Strong interpersonal and communication skills
- Highly organized with attention to detail
- Comfortable using (or learning) digital tools and scheduling platforms
- Ability to build relationships and work with diverse groups of people
- Reliable and comfortable working in a fast-paced, team-oriented environment
- Previous volunteer coordination or customer-facing experience is an asset
