Job Title: Agency Services (Volunteer) Coordinator/Manager

Location: Any City, Anywhere, ON
Reports to: Senior Manager/Director, Vice President
Division: Policy & Agency Services
Employment Type: Volunteer - 5 to 20 hours/week

Position Summary
The Agency Services Coordinator/Manager volunteer position supports the Board of Governors and senior leadership by providing Tier 3 administrative and branch support, enabling our customer-facing teams to deliver on our mandate. The Agency Services Coordinator provides leadership of volunteers and staff across one of our business units, including the areas of Finance Operations, Information & Information Technology, Purchasing, or Records Management. The ideal candidate is a politically astute thinker with a strong combination of both delivery policy experience, exceptional communication and interpersonal skills, and a proven ability to thrive in a fast-paced, high-stakes environment in a player-coach role. There is up to 7 vacancies.

Key Responsibilities

Day-to-Day Tier 3 Support

  • Act as the final line of defense for requests coming from our operating branches through the Support Center pertaining to the Agency Services Coordinator’s business unit.
  • Provide exceptional support to your team by spending 50% of your volunteer hours completing day-to-day requests in collaboration with your policy analysts and support center counterparts to ensure an exceptional internal customer experience.
  • Act as a Subject Matter Expert in your business unit, providing troubleshooting and support to analysts and the support center with transactions related to your area.

Team Member Coordination

  • administer and co-ordinate volunteer activities
  • provide leadership in the planning and development of a volunteer service
  • assess the status of current volunteer programs
  • monitor the performance of volunteers

Issues Management & Policy

  • Identify emerging trends within the business unit that would benefit from escalation to senior management.
  • Collaborate with other business units and the support center to identify and understand emerging issues and barriers to service excellence and flag such barriers to the Policy Branch for next steps

    Qualifications

    Education & Experience

  • Service Delivery, Customer Service, or Client Success is a requirement, including a demonstrated ability to serve a variety of customers both internally and externally
  • Experience in a regulated industry is highly preferred (Healthcare, Banking, Telecommunications, Broader Public Sector)
  • Experience utilizing a variety of systems – and the ability to process transactions across systems, including both in-house and commercial off-the-shelf software (Accounting, CRM, Ticketing System)

    Skills & Competencies
  • Understanding of Ontario’s Public Sector is a benefit.
  • Excellent writing and analytical skills with the ability to communicate effectively with a variety of customers
  • Demonstrated political judgment, discretion, and the ability to navigate confidential and sensitive issues.
  • Proven ability to manage multiple competing requests
  • Collaborative mindset with the ability to influence across levels and work in a highly dynamic team environment.
