Position Summary
The Program Coordinator is responsible for the effective planning, coordination, and delivery of Sheena’s Place programs. This position works closely with facilitators, moderators, volunteers, participants, and staff to ensure programs are well organized, accessible, welcoming, and delivered in alignment with Sheena’s Place's mission and program standards.
The Program Coordinator will oversee program calendars and scheduling, coordinate facilitators and moderators, respond to program inquiries, support program registration and participant communication, and identify opportunities to improve the participant experience.
The successful candidate will have a strong understanding of mental health and the importance of trauma-informed, inclusive, and person-centred approaches. They will be highly organized, collaborative, responsive, and comfortable working in a dynamic, not-for-profit environment.
Key Responsibilities
Program Planning & Delivery
- Develop and maintain the annual and seasonal program calendars.
- Coordinate program schedules, dates, times, locations, facilitators, and moderators.
- Ensure programs are adequately staffed and prepared for delivery.
- Monitor program attendance, registration, capacity, and utilization.
- Identify program delivery challenges and work proactively to address them.
- Support the implementation of program changes and new initiatives.
- Ensure programs are delivered consistently with Sheena’s Place policies, procedures, and program standards.
- Collect participant feedback and contribute to ongoing program evaluation and improvement.
Facilitator & Moderator Coordination
- Serve as a primary point of contact for facilitators and moderators.
- Support facilitators with group facilitation related issues, such as challenging participant dynamics
- Recruit, onboard, and coordinate facilitators and moderators as required.
- Maintain facilitator and moderator schedules and assignments.
- Communicate program expectations, policies, procedures, and updates.
- Build positive and respectful relationships with facilitators and moderators and ensure they feel supported in their roles.
Participant & Community Inquiries
- Respond to program inquiries from participants, family members, healthcare professionals, and community partners in a timely, compassionate, and professional manner.
- Identify questions or concerns requiring escalation to the appropriate staff member.
Program Administration
- Work closely with Communications staff to ensure program information is accurate and up to date.
- Identify barriers to participation and work with the team to develop solutions.
- Support Sheena’s Place's commitment to equity, diversity, inclusion, and belonging.
- Help ensure participants feel welcomed, respected, and connected to the Sheena’s Place community.
Team Collaboration
- Work collaboratively with Program, Communications, Fundraising, and Operations staff.
- Participate in staff meetings, planning sessions, and organizational initiatives.
- Contribute to the development and implementation of organizational policies and procedures.
- Support special events, outreach activities, and other organizational priorities as required.
Qualifications & Experience
Required
- Minimum 3 years of experience coordinating or managing program delivery, preferably in a not-for-profit, community, mental health, social service, healthcare, or related environment.
- Demonstrated experience coordinating multiple programs, schedules, and stakeholders.
- Experience facilitating groups and delivering educational content, ideally in a mental health setting
- Experience working with and coordinating facilitators, instructors, volunteers, or moderators.
- Strong organizational and time-management skills with the ability to manage multiple priorities.
- Experience developing and maintaining program calendars and schedules.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to build positive relationships with diverse stakeholders.
- Understanding mental health and the experiences of individuals and families accessing support services.
- Demonstrated commitment to equity, diversity, inclusion, accessibility, and anti-oppressive practices.
- Ability to respond to sensitive inquiries with empathy, professionalism, and appropriate boundaries.
- Strong attention to detail and proficiency with Microsoft Office/Google Workspace and relevant database or registration systems.
- Ability to work independently while also contributing effectively to a collaborative team.
Assets
- Experience working in the eating disorder or mental health sector.
- Knowledge of eating disorders and the recovery process.
- Experience working in a peer-support or community-based organization.
- Experience supporting people with complex mental health experiences, including distress or crisis.
