Position: Receptionist (part-time evenings and Saturdays)

Location: Richmond Hill Welcome Centre

Report to: Centre Manager

Position Overview:

The part-time receptionist is responsible for responding to client inquiries at Richmond Hill Welcome Centre. The incumbent in this position serves as the first point of contact for visitors, clients, internal and external stakeholders, who require information or need support with their settlement. They play a key role in creating a welcoming environment, managing communication within an organization, providing administrative support, ensuring smooth front-desk operations and ensure that services are delivered smoothly and respectfully.

Expected Compensation:

Gross salary will be $ 23.85 per hour based on 22.5 hours per week. All payments are subject to the required statutory employee deductions.

Customer Service

  • As first point of contact greets in-person clients/visitors/volunteers, provide them with information on organization programs and services or direct them to appropriate departments.
  • Answer and direct telephone inquiries to appropriate people and provide general information to clients and the public.
  • Operate the main switchboard, screen and direct call to appropriate person/department.
  • Collaborate with program staff to ensure smooth client intake and service delivery.
  • Assist with client inquiries regarding services, referrals, and resources, and schedules.

General Office Administration

  • Maintain a safe, clean and welcoming reception area by complying with procedures, rules and regulations.
  • Prepare, maintain Centre program materials and information as well as providing this information to visitors.
  • Oversee meeting room schedules and update the information daily.
  • Provide administrative support for the Centre.
  • Maintain security by following procedures and monitoring logbooks.
  • Support work-team continuity by documenting and communicating actions, irregularities, and ongoing needs.
  • Adhere to opening and closing procedures.
  • Must maintain confidentiality in respect to client matters.
  • Prepare and submit accurate reports.
  • Perform other duties as assigned.

Other:

  • Participate in agency fundraising activities as deemed appropriate and necessary by Senior Leadership.
  • Attend required agency activities and meetings.
  • Must support the values, vision and mission of the agency and the matrix management group.
  • The incumbent must be bondable and cleared by a police reference check.
  • Must be able to work in the evening until 8:30 p.m. and Saturdays until 4:00 p.m.
  • Maintain professional working relationships with teams, partners and community groups.
  • A valid driver’s license would be an asset.

Qualifications:

  • A secondary school diploma or equivalent; post-secondary education in social services or administration is an asset.
  • A minimum of one-year direct experience in settlement setting working with diverse population.
  • Excellent customer service orientation, aptitude for working effectively and sensitively with people from diverse cultural backgrounds.
  • Excellent in managing time, workload and able to work within the framework of established policies and procedures.
  • Use sound judgement and decision-making skills.
  • Ability to multitask and remain calm in a fast-paced, client-facing environment.
  • Ability to handle sensitive situations with discretion and empathy
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint and Outlook).
  • Verbal and written fluency in English is required, ability to communicate in second language would be an asset.

Physical Requirements

  • Sufficient physical ability and mobility to work in an office setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, reach, and twist; to lift, carry, push, and/or pull light to moderate amounts of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of a computer keyboard.
