Northumberland Learning Connection Administrator Job Description

NLC is seeking a part-time person to oversee the various administrative/production aspects of this non-profit, volunteer-board-operated speaker program. This job is a 5-month contract starting immediately until January 2027, with the potential for renewal. The contract is for $10,000 which represents 250 hours of work at $40 per hour.

Background

Since its inception in 2005, NLC has presented more than sixty programs and events that explore big ideas in geopolitics, history, the physical environment, philosophy and religion, the arts, and science and technology. NLC uses a multi-disciplinary delivery model, presenting twice-yearly programs with 5-6 speakers each bringing their own area of expertise to a broad subject. Programs may also include a relevant local outing. Periodically, NLC holds stand-alone events on a newsworthy topic. Our events typically attract about 150 people. Job scope

The Administrator would support NLC’s operations on a part-time basis, with tasks done online from home using your own computer.

We’re looking for a person who:

  • Is a strong communicator with mature people skills and confidence in dealing with speakers, audience members, board members, sponsors and donors
  • Can quickly become comfortable with NLC’s software platforms (Canada Helps, Zoom, YouTube, Vimeo, Square Space) through online tutorials and some one-on-one training
  • Takes initiative and seeks opportunities to add value
  • Can produce quality reports efficiently
  • Can manage across busy and quiet periods, and be flexible in dealing with short and long term needs

Tasks would include:

Program Logistics

  • Schedule and attend biweekly Program Committee meetings via Zoom (usually Monday afternoons) or view recording
  • Take minutes and distribute approved Program Committee reports
  • Communicate with speakers regarding contracts, travel, presentation needs, etc.
  • Make travel arrangements for speakers
  • Create and update event tracking spreadsheets
  • Prepare a logistics plan before each event
  • Review and send out event videos after events

Ticket sales and donations

  • Develop, manage, and monitor event ticket sales using the Canada Helps platform
  • Communicate with Canada Helps technical support as necessary
  • Send weekly reminder emails to NLC audience during events
  • Monitor the info@connectnlc.ca email account and respond to questions from ticket purchasers
  • Keep track of attendee data
  • Provide door lists on day of each event
  • Record donations and issue tax receipts

Other

  • Work with Directors on special projects like the Connector loyalty program
  • Provide customer data sets from time to time
