About Across Boundaries:

Across Boundaries is a mental health centre that provides a range of mental health and addictions support and services to individuals from racialized and Black communities in the Greater Toronto Area. We have a holistic approach to mental health care and operate within an anti-racism/anti-oppression and resisting anti-Black racism frameworks. These frameworks focus on providing opportunities to respond to systemic barriers, advocate for the inclusion of traditionally and historically silenced voices at decision-making tables, and strive for change at the individual, organizational and systemic levels.

Job Summary:

The Administrative Support Worker performs all aspects of administrative work including IT support, facilities maintenance, and clerical, to support the Admin Team. Administrative Support Worker works in partnership with and is accountable to the Operations and Administration Manager while working collaboratively with all other staff, volunteers and students.

Normal Hours for full-time employees consist of five (5) shifts or eight (8) hours per day, Monday to Friday, and Saturdays on a rotating basis, inclusive of a thirty (30) minutes unpaid lunch break (entitled under the ESA) and an additional two (fifteen (15) minute unpaid rest breaks. Normal hours of work will generally be scheduled between 8:00 am and 8:00 pm. Employees may be requested, but not required, to work some Sundays.

Responsibilities:

IT & Technical Support

  • Provides first-level technical and administrative support for computers, network systems, databases, applications and other technology, working closely with the external IT team.
  • Serves as the focal point for IT support requests, coordinating with staff and the external IT team to ensure timely resolution.
  • Supports staff onboarding and offboarding, including technology, equipment and access requirements.
  • Maintains records of IT equipment, mobile devices and other technology assets.

Reception & Office Administration

  • Acts as the first point of contact for staff, service users, visitors and other guests, including managing incoming phone calls, emails, mail and deliveries.
  • Provides front desk and general clerical support and responds to staff requests related to administrative matters.
  • Supports a safe, accessible and welcoming office environment and follows organizational health and safety, accessibility and emergency procedures.
  • Maintains organized administrative records, files and documentation.
  • Prepares and distributes correspondence, proposals, flyers, newsletters and other organizational materials.

Office & Facilities Support

  • Supports the day-to-day operation and maintenance of office equipment, including printers, copiers, mobile devices and other office technology.
  • Coordinates the purchase of office supplies, equipment and other administrative materials and liaises with vendors and service providers as required.
  • Coordinates office maintenance, repairs, vendors and other facilities-related requests.

Executive, Meeting & Event Support

  • Supports the Executive Director with calendar management and scheduling as required.
  • Assists with the preparation and coordination of meetings, workshops and agency events, including logistical arrangements, room setup, supplies and technology.

General Administrative Support

  • Provides overall administrative support and assistance to the day-to-day operations of the organization.
  • Performs other related duties as assigned by the Operations and Administration Manager. Qualifications & Responsibilities:
  • Diploma in IT or information management preferred.
  • Experience working in customer facing role is required.
  • Technological know how including Zoom/TEAMS, Outlook, MS office, IT troubleshooting.
  • Minimum two (2) years in a customer service and/or administrative role in a Not-for-Profit environment preferred.
  • Excellent interpersonal, written communication and customer service skills.
  • Working both independently and cooperatively as part of a team.
  • Strong organizational and multi-tasking abilities with high attention to detail
  • Easily adapts to changing priorities (flexibility is essential)
  • Open and friendly disposition

Salary Range: $45,000.36 to annum (pro-rated)
