Administrative Supervisor – Mental Health
One (1) full-time position, 1.0 FTE (35 hours/week), 10 month contract till March 31, 2027

General Responsibilities: The Administrative Supervisor, Mental Health is responsible for the day-to-day administrative functions and operations of the programs and services related to Mental Health Services at the site. The Supervisor works as a member of an inter-professional team and provides first-level administrative supervision to assigned staff and assists with workflow coordination, staffing coverage, onboarding, scheduling, and operational problem-solving.
The Administrative Supervisor, Mental Health is accountable to the Manager of Mental Health.
Specific Responsibilities:
Staff Supervision and Management:
- Ensures that the needs of clients, volunteers, staff, and visitors are appropriately served within the scope of these functions, that policies and procedures are developed and observed, and that the 750 Dundas Mental Health space is welcoming and well-maintained.
- Provides support and assistance to Mental Health team members in immediate difficult client engagements or emergency situations requiring intervention and de-escalation and report on client and staff safety incidents.
- Establishes and ensures work schedules and assignments for Mental Health team members to ensure appropriate coverage
- Monitors and implements systems to support client access.
- Works alongside Intake Counsellor to monitor intake and referral processes and update as necessary.
- Liaises with Manager, Directors and other staff to ensure smooth functioning of Mental Health services and clear understanding of work functions
- Co-Organizes and chairs Mental Health team meetings and ad hoc team meetings alongside the Manager of Mental Health Services
- Assist with preparation of reports, data collection, policy, and procedure development.
- Coordinates staff scheduling, attendance tracking, workflow assignments, and coverage arrangements to support continuity of Mental Health services.
- Develops and maintains comprehensive monthly administrative staffing schedules and coordinates coverage for planned and unplanned absences.
- Approves routine scheduling adjustments and administrative time-off requests within established processes and delegated authority.
- Supports onboarding and orientation of new staff, students and volunteers.
- Escalates employee relations, disciplinary, performance management, attendance management, and clinical concerns to the Manager, Mental Health Services as appropriate.
- Other duties as required.
Administration & Operational:
- Manages the day-to-day administrative operations of the programs and services related to Mental Health Services
- Coordinates the notification of clients with respect to changes in hours, planned or unplanned cancellation of services.
- Identifies and resolves problems appropriately referring to management team, if required, and working collaboratively with colleagues.
- Assists the Manager and VP, Client Services with the preparation of proposals, budgets, and quarterly reports.
- Participates in team and cross-team meetings and committees, initiatives and events as required.
- Supports and/or coordinates appropriate audit and review processes (chart, etc.).
- Participates, supports, or leads administrative operations related quality improvement initiatives and ensures team members participate in the Centre’s quality improvement plan and promote best practices.
- Coordinates the ordering of supplies for the team within an approved budget.
- Prepares correspondence as they relate to job responsibilities.
- Supports review and development of Mental Health administrative policies and procedures.
- Supports the team’s use of the EMR and trouble-shoots for IT systems (phone, computers) by liaising with IT and EMR supports to ensure efficient operations with area of responsibility, ensuring the team have what is needed to provide optimal services.
- Participates as a part of the management team.
- May represent the organization and the program team on networks/coalitions.
- Manage and approve staff time off request in Dayforce.
- Manages presto, gift card, and taxi chit distribution
- Ensures data collection around Socio-Demographic information and Health Equity Data.
- Occasional requirement to work flexible hours.
- Carries out other duties as may be assigned by the Manager.
Qualifications:
- Three to five years administrative experience in a community health and/or social service environment.
- Undergraduate university degree or College education in a relevant discipline is an asset.
- Demonstrated experience in developing projects and/or leading teams or activities.
- Demonstrated organizational, interpersonal, office, communications, and supervisory skills.
- Strong knowledge and utilization of electronic medical record systems; Knowledge and experience with Practice Solutions Suite (PSS) is an asset.
- Experience working in and/or managing in a unionized setting is an asset.
- Demonstrated ability to work effectively in a collaborative style with staff.
- De-escalation, crisis intervention and conflict resolution skills.
- Excellent verbal and written communication skills.
- Strong knowledge of issues affecting communities facing access barriers to health care.
- Demonstrated knowledge of the social determinants of health, harm reduction approaches and working with diverse and marginalized communities, particularly individuals who are homelessness, living with mental health issues, substance use and are immigrants and refugees and from 2SLGBTQIA+ communities
- Demonstrated organizational, office, and communications skills, including attention to detail and high level of accuracy.
- Energetic, flexible person and able to handle many areas at once, good problem solver.
- Strong problem-solving and decision-making skills.
Compensation: $78,192 to $89,159 per annum plus HOOPP (Healthcare of Ontario Pension Plan)
