WHAT YOU’LL GAIN

ROLE OVERVIEW

The Volunteer Well is seeking an action-oriented, process-minded Onboarding Specialist to eliminate our onboarding bottlenecks and ensure every new volunteer has a clear, welcoming, and empowering start.

If you are someone who hates seeing passionate people fall through the cracks and loves building organized systems (from access setup to "Day 1" task roadmaps), this role is for you. You will work closely with HR leadership to create, streamline, and manage the end-to-end volunteer onboarding workflow so new recruits are set up for success from day one.

KEY RESPONSIBILITIES

1. Onboarding Process Design & Architecture

  • Audit & Rebuild the Journey: Identify current gaps in the volunteer pipeline and build a streamlined, step-by-step onboarding checklist for each department.
  • Onboarding Portal: Work with other team members to develop, manage and update the onboarding portal for incoming volunteers.
  • Access & Tech Setup: Coordinate prompt provision of email accounts, Google Drive access, communication channels (e.g., Whatsapp Groups & Google Chats), and tool permissions so volunteers aren't left waiting.
  • First-Week Action Plans: Collaborate with team leads across the organization to ensure every new recruit receives a clear "Week 1 Jump-Start Guide" with immediate, tangible tasks.

2. Onboarding Facilitation & Coordination

  • Welcome & Orientation: Serve as the primary, warm point of contact for new volunteers as they transition from candidate to active team member.
  • Check-Ins & Feedback: Conduct 14-day and 30-day check-ins with new volunteers to gauge their experience, gather feedback, and ensure they feel supported in their roles.
  • Tracking & Pipeline Management: Maintain accurate records of where new volunteers are in their onboarding journey using our internal tracking tools.

3. Continuous Improvement & Documentation

  • Create SOPs & Guides: Write simple, clear standard operating procedures (SOPs) and quick-start user guides for internal tools and policies.
  • Refine the Experience: Use volunteer feedback to continuously refine and shorten the time between a volunteer signing on and making their first impact.

QUALIFICATIONS & SKILLS

  • Bias for Action: You don't wait to be told what to fix; you proactively identify bottlenecks and draft solutions.
  • Organizational & Systems Mindset: You love checklists, clear processes, organized folders, and smooth workflows.
  • Tech-Savvy: Familiarity with Google Workspace (Drive, Docs, Sheets, Gmail) and administrative workflows.
  • Background/Interest: A background or strong interest in Human Resources and Talent Management an asset.
  • Experience: 1-2 years of experience preferred but not required (this can be professional or volunteer experience).

TIME COMMITMENT & LOCATION

  • Location: Remote (Canada-wide)
  • Hours: Flexible (~3 to 5 hours per week)
