Unpaid Volunteer Position

The Events Team Co-Lead is a front-facing leadership role responsible for the planning, execution, and overall quality of Lean In Vancouver’s event portfolio. Reporting to Vice-President, Events, the Team Co-Lead role is designed as a shared leadership position: two Co-Leads work shoulder-to-shoulder to co-own the events strategy, timelines, and delivery, collaborating closely to divide responsibilities in a way that plays to each person’s strengths.

Together, the Co-Leads ensure that all events align with Lean In Vancouver’s strategic priorities, maintain a consistently high standard, and create meaningful, inclusive experiences that support women’s professional advancement and personal growth.

Responsibilities include

Shared Leadership & Collaboration

  • Partner closely with another Co-Events Team Lead to jointly strategize, prioritize, and deliver programs in the annual events portfolio. This includes establishing effective ways of working together to clarify clear ownership, regular check-ins, and proactive communication.

Team Management & Delegation

  • Lead, support, and mentor two Events Coordinators, providing clear direction, timelines, and early notice to enable successful delivery.
  • Create a collaborative, supportive volunteer team environment while balancing accountability and flexibility.

Event Planning & Execution

  • Oversee end-to-end event planning, typically beginning approximately 4 months in advance, recognizing the realities of volunteer capacity while maintaining momentum.
  • Manage the preparation of Event Briefs.
  • Secure in-kind corporate venues and manage vendor relations; ensure accurate tracking and timely payment.
  • Plan food and beverage quantities based on projected ticket sales and attendance.
  • Develop and oversee detailed Runs of Show and coordinate creation of event decks.
  • Liaise with speakers and panelists before and during events, ensuring a seamless and professional experience.
  • Manage day-of logistics, including on-site venue coordination and scheduling of event volunteers.

Project & Information Management

  • Apply strong project management practices to track tasks, deadlines, dependencies, and risks.
  • Review, synthesize, and apply information from multiple sources (event briefs, stakeholder inputs, vendor details, prior event documentation) to inform decisions and execution.
  • Triage issues calmly and effectively during high-pressure moments, taking proactive ownership to resolve challenges.

Stakeholder Engagement & Communications

  • Work closely with the Marketing team to promote events and ensure consistent messaging.
  • Operate effectively in a collaborative, stakeholder-rich environment where materials, messaging, and decisions may require review and alignment across multiple internal partners.
  • Serve as a reliable and responsive point of contact for internal and external stakeholders.

Qualifications

  • Experience in event management, project management, product management or similar.
  • Passion for Lean In–related initiatives and a genuine desire to contribute to a community advancing women’s careers and growth.
  • Demonstrated ability to independently drive complex event projects from ambiguity to execution.
  • Strong attention to detail, with the ability to prioritize, triage, and adapt under pressure.
  • Excellent written and verbal communication skills
  • Comfortable in a front-facing leadership role.
  • Please note that candidates do not need to meet every requirement as long as they are committed to continuous leanings.

Time Commitment

  • Approximately 3-4 hours per week on average. This includes the following ongoing project work, meetings, event participation, and all listed requirements below. Volunteer hours may vary throughout the year depending on project demands and event schedules. For context, Lean In Vancouver usually hosts at least two in-person events and one virtual event per year.
  • Monthly 60-min virtual Vancouver team meeting: only one representative per team needs to be present at these monthly calls. However, participation is encouraged.
  • Bi-monthly virtual 1:1 meeting (usually 30 mins) with VP Events to discuss event portfolio updates, priorities, and next steps.
  • In-person team meetings: These strategy meetings are typically hosted in downtown Vancouver once per year. Each session is over 2 hours followed by an optional social.
  • Quarterly 60-min virtual event committee meetings: These meetings typically include the board director, VP Events, and other Event Leads from Toronto, Calgary, Ottawa, and Edmonton.
  • Network in-person marquee event: Approximately one reception per year, each lasting about 2-3 hours. Given the Events Co-Leads’ significant engagement with external stakeholders, attendance is encouraged when possible.
  • Smaller-scale events hosted in downtown corporate offices: While attendance is optional, we encourage the Events Co-Leads to participate to build relationships and deepen engagement with key contacts.
  • Team socials: Usually twice per year; optional but encouraged if your schedule allows.
