Reporting to the Project Manager, this role will primarily work closely with project partners, the Communications and Public Relations Lead, and an external brand and communications agency to ensure effective coordination, documentation, and communication across all project activities.&nbsp; &nbsp;The ideal candidate is highly organized, detail-oriented, and skilled at managing multiple priorities in a dynamic, collaborative environment.&nbsp;&nbsp;Key Duties and Responsibilities&nbsp;<ul><li>Provide day-to-day administrative support to the Project Manager under the supervision of the Programs Manager and project team to ensure smooth coordination of activities and timely completion of deliverables. </li><li>Collect, organize, and maintain project data, documents, records, and partner information to support effective workflow and reporting. </li><li>Schedule and coordinate internal and external meetings, including preparing agendas, taking minutes, and tracking action items. </li><li>Support communication flow between BOF team members and project partners, to ensure clarity and consistency of information. </li><li>Track project milestones, deliverables, and deadlines to assist with progress monitoring and reporting. </li><li>Assist in preparing project documentation and reports, presentations, and reports for internal and external stakeholders. </li><li>Coordinate logistics for events, workshops, and meetings related to the Project. </li><li>Liaise with the Communications &amp; PR Lead and external brand agency to support administrative needs related to project communications and outreach (no content creation required). </li><li>Handle general administrative duties and ad hoc tasks as assigned to support the efficient functioning of the project.&nbsp;</li></ul>&nbsp;Qualifications and Requirements&nbsp;<ul><li>Minimum 3 years of administrative or project coordination experience, ideally in a nonprofit or community-based setting. </li><li>Strong organizational and time-management skills, with the ability to manage multiple priorities effectively. </li><li>Excellent written and verbal communication skills. </li><li>Strong interpersonal skills and ability to collaborate with diverse stakeholders. </li><li>Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort working with digital collaboration tools (e.g., Teams, SharePoint, or Google Workspace). </li><li>Familiarity with project management tools (Monday, Asana, Trello etc.) </li><li>High attention to detail and a proactive, problem-solving approach. </li><li>Ability to work both independently and collaboratively in a fast-paced environment.&nbsp;</li></ul>&nbsp;Compensation&nbsp;The target hiring range for this position is $28 - $30 per hour, commensurate to experience. This position offers the opportunity to be a part of an award-winning Convention.&nbsp;PDAC 2026: The World’s Premier Mineral Exploration &amp; Mining Convention will take place from March 1-4 in Toronto. The convention brings together an ever-growing audience of more than 27,000 attendees from over 125 countries for its educational programming, networking events, business opportunities and fun. Since it began in 1932, event is a gathering where familiar faces reunite, new connections are forged, and the future of mineral exploration takes shape one conversation at a time. It hosts more than 1,300 exhibitors and 700 presenters.&nbsp;The Role&nbsp;Under the guidance of the Volunteer Coordinator, this position will assist with training and shift management of Convention Ambassadors (volunteers). Convention Ambassadors greet attendees and assist them in navigating the convention smoothly. Volunteers are primarily students, and are given the opportunity to volunteer in exchange for a complimentary registration to the event (among other benefits).
