This is an unpaid volunteer opportunity.

Associates are expected to put in a minimum of 5 hours per week and be responsive to emails within 36 hours.

SUMMARY:

The System Administrator supports the organization’s technology operations, with a focus on administering and optimizing collaboration and project management tools such as Jira, Trello, and Confluence. This includes designing workflows, managing system configurations, and improving cross-team coordination and visibility across projects.

The role works closely with project teams and key stakeholders across the organization to ensure systems are effectively aligned with business needs. The System Administrator identifies opportunities for process improvement, addresses workflow and system gaps, and helps track risks, issues, and assumptions across platforms.

This role also ensures proper documentation of system changes and communicates any misalignments between business processes and tool configurations.

PRIMARY RESPONSIBILITIES:

  • Design, build, and maintain dashboards, reports, and filters in Jira and Trello.
  • Create and manage Jira workflows and Trello boards based on team and project requirements.
  • Develop and maintain Confluence pages and integrate them with Jira and Trello projects.
  • Maintain configurations across Jira, Trello, and Confluence environments.
  • Configure Jira workflows, permission schemes, notification schemes, screen schemes, and Trello board structures.
  • Work with the Systems Administrator (or infrastructure support) to configure, maintain, and upgrade Jira, Trello, Service Desk, and Confluence.
  • Translate business requirements into structured workflows and board systems across Jira and Trello.
  • Ensure projects remain within scope and aligned with defined baselines.
  • Contribute to project status reports and maintain visibility of ongoing work across tools.
  • Track tasks, progress, and updates across Jira and Trello boards.
  • Support the Associate Director, Technology with system-related initiatives.
  • Attend virtual meetings in EST (GMT -4:00) and respond to emails within 36 hours.
  • Perform other related duties as assigned.

QUALIFICATIONS:

  • Experience managing Jira Cloud and/or Jira Server (migration experience preferred).
  • Experience using Trello for task tracking, collaboration, or workflow management is an asset.
  • Strong understanding of Jira workflows, Trello board structures, and system configurations.
  • Ability to configure permissions, custom fields, automation, and integrations across tools.
  • Understanding of nonprofit workflows and budget-conscious solutions preferred.
  • Experience migrating Jira or Trello systems to cloud environments (Azure/AWS preferred).
  • Familiarity with Azure VM setup, database hosting, and cost optimization strategies is a plus.
  • Knowledge of database backup and recovery in cloud environments (preferred).
  • Awareness of data protection standards such as HIPAA and GDPR is an asset.

ADDITIONAL NICE-TO-HAVES:

  • AWS hosting experience (for potential future projects).
  • Familiarity with Confluence administration.
  • Experience integrating Jira or Trello with web platforms or CMS tools (e.g., Webflow).
