Volunteer Type: Hybrid

Volunteer Hours: Monday – Friday 10:30 am – 6:30 pm
Volunteers Needed: 1
Reports to: Volunteer Services Coordinator
Start date: January 05, 2026
Position Summary
The Volunteer Management student is responsible for supporting recruitment and onboarding activities of volunteers, maintaining volunteer records, facilitating consistent and engaging communication with SPLC’s volunteers, and providing administrative support to the Volunteer Services department.
Responsibilities
- Supporting recruitment, onboarding, and orientation activities
- Supports recruitment activities in collaboration with Volunteer Service Coordinator, Volunteer Supervisors and the Volunteer Administration & Recruitment team
- Updates orientation materials and support other onboarding activities
- Ensures collection of all relevant documentation and follow up as needed
- Ensures all job postings and interview forms are up to date
- Maintains Volunteer Services records
- Ensure all volunteer information is current and maintained in related databases
- Ensures that volunteer files and records are maintained in accordance with privacy legislation and organizational policies and procedures
- Maintains the volunteer resource databases, ensures that system records are accurately recorded and secured for privacy
- Updates volunteer processes and forms
- Maintains records of new volunteer orientation, training, etc.
- Facilitate consistent and engaging communication with the volunteers
- Coordinates communication and logistics of volunteer resources when needed for urgent events
- Facilitates and mediates communication between volunteers and SPLC staff
- Communicate urgent and important tasks with Volunteer Services Support Team
- Performing other administrative support duties
- Provides back-up support to Volunteer Services Coordinator
- Supports all staff and volunteer events where volunteer resources are required
- Assists with planning and coordinating volunteer recognition events eg. annual Holiday Party
- Troubleshoot various platforms used to maintain full services of volunteer resources
- Provides clerical and administrative support to the Volunteer Services team
Skills & Qualifications
- Education:
- Volunteer Management diploma or certificate with recognized college or university, in progress or completed
- Human Resources Management diploma or certificate
- Experience:
- Previous experience in Administration or Recruitment
- Experience with volunteer management systems is an asset
- Knowledge of Volunteer Management and Recruitment
- Proficient in Microsoft Office and Google Workspace
- Highly detail-oriented with a focus on quality and accuracy
- Strong organization skills and accurate filing and record keeping
- Ability to multi-task and prioritize
- Excellent verbal and written communication skills
- Good interpersonal skills and ability to maintain confidentiality of information
- Strong analytical and problem-solving skills
- Highly action-oriented and results-oriented
- Ability to work both independently and as part of a multi-cultural team
Working Environment
- Sitting in front of the computer terminal for long periods of time
- May have frequent work interruptions
- Working evenings and weekends is optional
Orientation & Training
- Volunteer Services will provide an orientation covering organizational policies and procedures, including COVID-19 safety measures.
- Completion of IPAC Mandatory Training is required for all onsite positions
- Organizational training will be provided for all new volunteers
- Position-specific training and orientation will be conducted by the direct supervisor
Supervision & Evaluation
- Supervision and support will be provided by the Volunteer Services Coordinator
Other Requirements
- Currently enrolled in an accredited post-secondary program
- Vulnerable Service Sector Check screening is mandatory
- Proof of full vaccination or Medical Exemption Certificate is mandatory
- Must be 18 years or older
