
Volunteer Position: Director of Digital Infrastructure & Web Systems

Position Overview
We are looking for a Director of Digital Transformation who can bring structure, security, and smarter systems to the way we work. This is a hands-on leadership role for someone who loves solving operational problems with technology, communicates clearly with non-technical teammates, and genuinely cares about the mission behind the work. You will be the person our team turns to when tools are not connecting, data feels unsafe, or processes are slowing us down.
What You Will Do
Platform Ownership and Administration
- Own and manage our core digital tools: email (Google Workspace / Outlook), Slack, Monday.com, Zeffy, and Wix, and keep them running smoothly for the whole team.
- Set up, maintain, and audit user accounts, permissions, and access controls across all platforms.
- Serve as the primary point of contact for technical support and vendor relationships.
- Identify integration opportunities between platforms to reduce duplication and manual work.
- Evaluate and recommend new tools as the organization grows.
Data Security and Privacy
- Develop and maintain a clear data security policy appropriate to a Canadian nonprofit context, including PIPEDA awareness.
- Establish best practices for password management, two-factor authentication, and secure file sharing.
- Monitor for vulnerabilities across accounts and platforms and respond to any incidents swiftly.
- Ensure donor data managed through Zeffy is handled with the highest standard of care and confidentiality.
- Conduct periodic access reviews and offboarding checklists to protect organizational data.
Technical Guidance and Team Support
- Translate technical decisions into plain language so volunteers and staff can understand and act on them.
- Create simple how-to documentation, SOPs, and onboarding guides for our digital tools.
- Provide guidance on our website (Wix) including updates, accessibility, and basic performance.
- Support the team in using Monday.com effectively for project tracking and collaboration.
- Advise the leadership team on digital strategy, including email marketing compliance (CASL), CRM use, and future tech investments.
What We Are Looking For
Required
- Solid working knowledge of Slack, Monday.com, Zeffy, and Wix (or the ability to get up to speed quickly on any of these).
- Experience managing Google Workspace or Microsoft 365 email environments, including user administration.
- A clear understanding of cybersecurity fundamentals: access controls, phishing risks, data handling, and two-factor authentication.
- Ability to explain technical concepts in a way that resonates with volunteers who are not technically trained.
- Strong organizational skills and the self-direction to work independently in a volunteer environment.
- Commitment to the values of the Humane Choices Foundation, including compassion, transparency, and accountability.
Nice to Have
- Experience working with nonprofit organizations or volunteer teams.
- Familiarity with CASL (Canada's Anti-Spam Legislation) and PIPEDA.
- Background in HubSpot or similar CRM or email marketing platforms.
- Basic web development knowledge (HTML, CSS) for minor Wix troubleshooting.
- Experience with cloud storage and file organization (Google Drive, Dropbox, and similar).
