
Volunteer Grants Coordinator
About us
Devxchange International is a Canadian registered charity that connects Canadian volunteers with our international development projects, delivered in cooperation with local partner organizations around the world.
What you will do
- Use Grant Connect (subscription provided) to research and review potential funding opportunities for projects seeking funding
- Own the grant pipeline from start to finish: track each opportunity through defined stages (identified → assigned → drafting → internal review → submitted → approved / denied / withdrawn / unresponsive)
- Maintain organized records of funders who have previously granted funding, including grant history and terms
- Act as the single point of assignment for new funding opportunities — before a project lead applies to a new funder, confirm with you that no other project has already applied to or is currently pursuing that same funder, to avoid duplicate applications
- Assign new grant opportunities to project leads based on fit, urgency, existing funder relationships, and workload balance
- Match writers from our existing volunteer writer pool (recruited and onboarded separately) to specific requests when a project lead needs writing support
- Track writer turnaround and balance requests across the pool so no one writer is overloaded
- Track deadlines and chase status updates from project leads and writers
- Complete a CRA-compliance checklist for every proposal before submission (covering approved language, direction-and-control framing, and accuracy against the project's approved budget), and provide final sign-off before anything is submitted
- Send a regular (weekly or biweekly) status update to the ED and project leads: what's assigned, what's due soon, what's submitted, what's been decided
- Maintain a running log of outcomes (funds awarded, decline/withdrawal/unresponsive reasons) to feed into annual fundraising reporting
What we are looking for
- Experience in grants management, funding administration, or non-profit finance
- Strong organizational skills — comfortable owning a pipeline and matching requests to writers across a handful of concurrent projects (currently around 5)
- Comfort learning and using online grant-research databases (training provided on Grant Connect)
- Excellent communication skills, both written and verbal
- Attention to detail and comfort working with budgets/financial data
- Experience in the non-profit sector is an asset
