
Volunteer Conference Coordinator
Background
The Digital Sexual Violence Support Centre (DSVSC) is planning a one day hybrid conference that engages lived experience experts (survivors), community advocates, service providers, legal professionals, policymakers and educators, in a collaborative environment to co-create and on promising practices to address technology-facilitated sexual violence (TFSV).
This conference will take place the week of May 10 to May 16, 2026 and will most likely be held in Toronto, Ontario.
We are seeking event volunteers who will help plan and execute this conference. All selected volunteers will receive an honorarium for their time. Candidates must be a current resident in Canada.
**The ideal candidate must live in the Greater Toronto Area and be willing to attend the conference in-person in Toronto, Ontario
Duties and responsibilities:
- Lead the creation and execution of a conference-related risk assessment and management plan
- Handle inquiries and troubleshooting related to our TFSV conference
- Act as a primary contact for partner organizations participating in the event
- Co-create an outline for our TFSV conference including the draft agenda, session topics and proposal submission criteria, while working with our Executive Director (ED)
- Support the training of events volunteers and related on-site staff
- Develop a GANTT chart to ensure the timely completion of our TFSV conference related milestones
- Create timelines for the on-site event staff, while ensuring the equitable distribution of events responsibilities
- Negotiating contracts with potential vendors and venues
- Ensure that the events team stays within the budget for the TFSV conference
- Keep and organize digital receipts of the events-related transactions (e.g. materials purchased, venue deposits, honorarium transactions etc.)
- Oversee a team of 3-4 events assistants to ensure the fulfilment of logistics planning and implementation of our TFSV conference
- Coordinate and delivery regular virtual meetings with the events team volunteers
- Work alongside the social media team to ensure that the events materials and flyers maintain survivor-centred, trauma-informed and compassionate language
- Respond to and handle potential missing tech equipment with tact and relative calmness
- Meet regularly with the ED to share updates on the conference planning
- Organize debriefings as necessary
Post Conference Duties
- Support final reporting on the conference outcomes including participation statistics, challenges, barriers and related reflections
Required qualifications and Skills
- Excellent verbal and written communications skills in English
- Previous experience supporting or leading events planning
- Willing to learn about technology-facilitated sexual violence (TFSV)
- Excellent problem solving, time management, team supervision, and negotiation skills
- Proficiency with Google Drive, Zoom, Canva, Wix and related online tools
Preferred Qualifications
- A certificate, training or related studies in events coordination or management
- Experience supporting a volunteer organization or a nonprofit is an asset
