Arc is recruiting a Treasurer (Executive) to join its volunteer Board of Directors!

About Arc

The Arc Poetry Society is a not-for-profit organization dedicated to nurturing and promoting the composition, appreciation, and understanding of poetry in Canada and abroad, with a particular emphasis on Canadian poetry. As the legal entity that publishes Arc Poetry Magazine, this organization plays a vital role in supporting Canada’s literary ecosystem through publishing, awards, and public engagement.

Arc is governed by a volunteer Board of Directors, which provides strategic leadership, financial oversight, and organizational stewardship. The Board works closely with an Editorial Board and a small team of independent contractors. Board members typically take on 1-2 specific roles and may also contribute to committees or short-term initiatives depending on interest and capacity.

Role Overview

The Treasurer is the Board’s primary financial steward, responsible for ensuring that Arc’s financial resources are managed responsibly, transparently, and in accordance with Board-approved policies and budgets.

The Treasurer role focuses on oversight, monitoring, and early identification of financial risk, working closely with the President, Managing Editor, and Bookkeeper.

This role is especially well-suited to someone who values clarity, good systems, and collaborative governance.

The estimated commitment for this key role within the Board of Directors is 12-15 hours per month.

This includes:

  • Participation in quarterly Board meetings and occasional additional meetings
  • Preparation of quarterly financial reports in collaboration with the Bookkeeper
  • Reviewing and approving unbudgeted expenses in collaboration with the President
  • Writing and/or signing cheques on behalf of the organization
  • Regular check-ins with the President, Managing Editor, and Bookkeeper

Responsibilities & Authority

Financial Oversight

  • Review monthly bank reconciliations prepared by the Bookkeeper
  • Oversee compliance with Arc’s financial procedures
  • Ensure appropriate financial tracking
  • Review financial statements and year-end documentation

Budgeting & Monitoring

  • Collaborate with the President and Managing Editor on annual budget development
  • Prepare high-level quarterly budget vs. actual reports for the Board
  • Flag material variances, risks, or cash-flow concerns to the President and Executive

Financial Controls & Risk Management

  • Support clear approval processes for budgeted and un-budgeted expenses
  • Participate in cash-flow monitoring

Grants, Compliance & Reporting

  • Review financial components of grant reports before submission
  • Oversee compliance related to HST filings and rebates
  • Support year-end processes, including review of financial statements and oversight of T3010 filing

Board Leadership & Collaboration

  • Serve as a member of the Executive
  • Advise the Board on the financial implications of strategic decisions
  • Contribute to the continuous improvement of financial policies and practices
