Role Summary 

As a member of the Education & Consulting team, the Training and Consulting Program Coordinator is responsible for supporting long-term, trusting relationships with our custom training and consulting clients and Knowledge Philanthropists (KP). As Training and Consulting Program Coordinator, you will provide detail-oriented administration and coordination for standard and custom training, strategic planning, and all other consulting engagements to ensure effective communications and service delivery. The role focuses on coordinating support to clients at all stages of their engagement in training and consulting services, from initial enquiries to evaluation processes after each engagement.    

Role Responsibilities

Client Engagement & Communications 

Be the first point of contact with clients for training, strategic planning, and consulting engagements and make appropriate referrals for scoping discussions with Client Leads (e.g., Organizational Consultants, Director of Education & Consulting, and Associate Executive Director). 

Effectively communicate the range of Vantage Point learning opportunities and training and consulting services to current and future clients through email and phone communication.

With Client Leads, ensure timely and successful delivery of our services according to client needs, objectives, and learning outcomes, through all stages of client engagement from prospective leads to follow up. 

As needed, support the Volunteer Engagement Coordinator and Education Program Lead, providing administrative support related to client deliverables, facilitator onboarding and engagement, and material preparation through the delivery process. 

Produce visually clear, professional final products for clients, including the design of strategic plan summaries, in support of Client Leads.

Share information from our Referral List and other known sector supports, related to client requests where Vantage Point does not have the relevant capacity or expertise. Work with the Administrative Coordinator on regular updates to the Referral List.  

Administration

With direction from Client Leads, draft proposals and help to finalize for client review, acceptance and/or signing.  

Set up and coordinate all Salesforce (SF) records and folders related to client engagements, including setting up accounts, contacts, client folders, survey links and opportunities to effectively track delivery processes, using Salesforce, Slack, and SharePoint.

Generate and administer all client and opportunity contracts and send for signing, following up on receipt and alerting relevant staff when complete.

Support the Administrative Coordinator and Director of Operations & Communications in accurate monthly invoicing process and annual data evaluation collection process.  

Develop and maintain post engagement follow up process in partnership with Client Leads for all custom/standard training, Lifecycles Assessments, and strategic planning engagements. Support tracking and summarizing evaluation responses and sharing with relevant team members. 

Support identification of and response to relevant Requests for Proposals, including utilizing the RFP Screening matrix, to support Client Leads to prioritize RFPs. 

Other Responsibilities 

Contribute to team planning and activities.

Provide key coordination supports for our annual BC Non-Profit Leadership Conference. 

Engage in ongoing team learning and actions in strengthening our equity, diversity, and inclusion practices and approaches. 

Lead ad hoc internal capacity development projects, with a focus on those that support business development and more efficient and effective services.

Role Qualifications and Competencies 

To excel in the Training and Consulting Program Coordinator role:  

  • 2+ years’ experience in a customer service/client development role.  
  • Bachelor’s degree in a relevant field or equivalent experience. 
  • Strong relationship-building and relationship-management skills, particularly the ability to listen carefully and ask in-depth coach approach questions to get to the heart of a matter. 
  • Proven active listening skills; enjoys supporting people and their organizations to overcome challenges. 
  • Self-starter and high capacity to work independently and with exceptional attention to detail. 
  • A highly collaborative work ethic and excellent teamwork skills. 
  • Aptitude for technology, including Salesforce CRM, SurveyMonkey, Canva  and Microsoft Office Suite (i.e., Outlook, Word, Excel, PowerPoint).  
  • Well-organized with strong time-management skills

Role Compensation and Requirements

This is a temporary, 4 day a week (28 hours per week) position to cover a leave term. The term is expected to conclude on December 31, 2026, with the possibility of extension subject to organizational needs. The hourly rate is based on an annual salary in the range of $54,043-$60,047 (job range C) and the expected hiring range for the position is $54,000-$57,000. All job ranges can be found here.

This position is entitled to 2 weeks’ vacation per year, prorated for 28 hours per week, and includes a paid one-week office closure in late December. This position may be eligible to enroll in Vantage Point’s extended health and dental benefits upon successful completion of a probationary period.

Vantage Point’s office is 2 blocks from the Burrard Street Skytrain Station, and the Training and Consulting Program Coordinator will work on a hybrid work schedule with in-office requirements 2 days per week.
