RCP is actively looking for a Program Coordinator for Toby’s Place, a free after-school drop-in program for 2SLGBTQIA+ youth, questioning youth, and allied friends, aged 13–20.

Role Summary

Rainbow Community Places (RCP) is seeking a Program Coordinator to champion and lead our Toby's Place program. This is more than a leadership role; it's an opportunity to cultivate a thriving, resilient community where young people feel safe, empowered, and ready to flourish.

The Toby's Place Program Coordinator is responsible for providing program leadership, managing the smooth operation of the weekly drop-in, and creating a safe(r) and nurturing environment for participants. This leadership role focuses on managing program delivery, recruiting and mentoring volunteers, maintaining compliance with RCP policies, and serving as the communication liaison to the RCP Board. This role reports to the Board HR Subcommittee.

● Program Hours: This role requires a dynamic, on-site presence for the weekly 5 hour drop-in program at our Scarborough location (Mondays, 3:30 PM to 8:30 PM). An additional 1-2 hours before/after the program is required for set-up and clean-up.

● Flexible Schedule: This role is expected to take up to 12 hours each week, with approximately 7 hours on Monday at our Scarborough location. The remainder of your weekly hours are flexible, allowing you to manage planning, administrative tasks, and meetings with the HR Subcommittee and Board.

Key Responsibilities

1. Program Leadership & Operations

● Lead and oversee all aspects of the weekly Toby's Place program, which runs on Monday from 3:30 to 8:30 pm.

● Oversee planning and preparation for the weekly drop-in, including organizing educational and recreational activities.

● Manage the overall set up and clean-up of the program space, including coordination of food preparation and kitchen clean-up, with support from volunteers and the Program Assistant.

● Complete weekly program summaries suitable for use in grant submissions and reporting.

● Ensure compliance with applicable RCP policies and procedures, striving to create a go-to safer space.

● Keep a record of any incidents or problems that may require follow-up or action.

2. Volunteer Management & Development

● Recruit, screen, and train volunteers to assist with the running of the Toby’s Place Program.

● Mentor and support volunteers in their responsibilities, encouraging them to work to their full potential and contribute to the program's safe(r) space.

3. Organizational Support & Inter-Program Collaboration

● Maintain communication with the Board, including preparing and providing a report prior to regular Board meetings.

● Assist with grant-related projects by recruiting facilitators/volunteers, arranging materials, tracking expenses, and reporting to grantors and the RCP Treasurer (when applicable).

● Collaborate with Board members to prepare grant applications for program funding when appropriate.

● Work as a team with the Dorothy’s Place Program Coordinator to procure food for meals, supplies for program needs and to offer intergenerational events as and when appropriate.

● Promote Toby’s Place and RCP by tabling at schools and other venues as time permits.

● Provide occasional back-up support for the Dorothy’s Place program if key volunteers or peer facilitators are unavailable.

Qualifications and Requirements

● Demonstrated experience in program leadership or coordination, particularly within a drop-in or youth-focused setting.

● Proven ability to work independently and as part of a team, creating an environment that fosters belonging among staff and volunteers.

● Strong commitment to the purpose, mission, vision, and values of RCP, with a clear understanding of the need to create safe(r) spaces for 2SLGBTQIA+ communities.

● Experience in recruiting, training, and overseeing volunteers.

● Excellent communication skills to effectively relay program information to participants (via newsletter/social media) and provide clear reports to the Board.

● Familiarity with the needs of 2SLGBTQIA+ youth and demonstrated ability to work with 2SLGBTQ+ communities including integrating antiracism, anti-oppression and intersectional values and principles into daily practice.

● Ability to manage time effectively to carry out all planning, program delivery, and administrative tasks within the specified weekly hours.

● Please note, a vulnerable persons police check will be required for successful candidates.

Work Conditions

● Primary Location: Toby's Place. Monday’s at 33 East Road, Scarborough, Ontario.

○ Remote for administrative work

● Regular Hours: Approximately 12 hours per week.

The weekly drop-in runs on Monday from 3:30 PM to 8:30 PM, from September to July. Set-up and clean-up are required before/after the program hours. Beyond this, the administrative hours are flexible and may vary weekly to accommodate meetings and other activities.

● Position Type: Part Time

● Hourly Wage: $23-27/hr, depending on experience
