ABOUT THE CAPITAL CAMPAIGN

Epiphany Church is a vibrant, community-rooted congregation located in Ottawa. As we approach our 25th anniversary, we are preparing for a capital campaign to raise between $800,000–$1 million CAD to support building repairs and upgrades. This will ensure the space remains a welcoming, functional, and inspiring place for generations to come – including our congregation and the wider community that uses our beautiful space.

To prepare for this campaign, we are seeking a qualified fundraising consultant or firm to help us develop a detailed blueprint for a successful campaign. This blueprint should outline the phases, key principles, internal team and resource needs, and—critically—help us better understand and target our potential donor base.

We welcome proposals that outline how the consultant would approach this planning phase—whether through interviews, research, retreats, Zoom sessions, or other methods. We are open to considering proven strategies and methodologies proposed by the consultant.

Please note: This RFP is solely for the planning and preparation phase of our fundraising efforts. Execution support may be the subject of a future engagement, and we invite respondents to flag their capacity for such future work.

PROJECT OBJECTIVES

  • Develop a strategic, actionable fundraising plan for a capital campaign.

  • Build internal capacity and campaign leadership within our church community.

  • Deepen understanding of our donor landscape and engagement strategies.

  • Promote accountability and best practices in donor stewardship.

SCOPE OF WORK

We seek proposals that may include but are not limited to:

Campaign Readiness & Planning

  • Assess Epiphany’s current readiness and capacity.

  • Identify strengths, gaps, and key resource requirements.

  • Outline the key principles and phases of a successful campaign.

  • Facilitate visioning or planning sessions with church leadership.

Donor Landscape & Engagement Strategy

  • Help us identify and understand our donor base.

  • Prioritize prospective donor segments.

  • Recommend outreach and engagement tactics for a Quiet Phase and eventual public campaign.

Blueprint & Recommendations

  • Deliver a structured, written campaign planning roadmap.

  • Include key timelines, staffing and volunteer needs, and donor engagement strategies.

  • Provide guidance on internal preparation and leadership development.

DELIVERABLES

  • Planning Retreat or Consultation Summary (as applicable).

  • Written Campaign Planning Blueprint.

  • Donor Landscape and Engagement Plan.

  • Optional: Indication of availability for future campaign implementation support.

PROPOSAL REQUIREMENTS

  • Company/consultant profile and relevant experience.

  • Bios of key personnel.

  • Examples of relevant projects (preferably faith/community-based).

  • Proposed approach and methodology.

  • Timeline.

  • Budget (including fee breakdown and any applicable expenses).

  • References (minimum of 2).

BUDGET

We anticipate a planning-phase investment in the range of $6,000–$10,000 CAD. Future execution support may be contracted separately. All fees must be clearly stated.

EVALUATION CRITERIA

  • Demonstrated experience with strategic fundraising planning and a track-record in church or community-based capital campaigns.

  • Clarity and creativity of proposed approach

  • Fit with Epiphany’s values and community context

  • Budget alignment and value

  • Client references
