Position Title: Stewardship & Communications Coordinator

OVERVIEW

The Stewardship & Communications Coordinator supports fundraising growth through donor-centered communications, stewardship initiatives, prospect research, and engagement strategies that strengthen donor relationships and encourage ongoing philanthropic support.

This position serves as a key operational link between fundraising strategy and donor engagement, supporting the Foundation's annual giving, major gifts, sponsorship, events, and community engagement activities. Working collaboratively with the Major Gifts Officer, Corporate & Community Engagement Officer, Executive Director, and external fundraising partners, the role helps ensure that communications and stewardship activities move supporters from awareness to engagement, engagement to giving, and giving to long-term donor relationships.

Using donor insights, stewardship best practices, fundraising communications, and data- informed engagement strategies, the role supports the Foundation's efforts to increase donor acquisition, retention, recurring giving, sponsorship engagement, and pipeline development across all fundraising channels.

KEY AREAS OF RESPONSIBILITY

Donor Stewardship & Engagement

Coordinates stewardship activities that strengthen relationships with annual, monthly, major, legacy and community donors. Supports donor recognition initiatives, impact reporting, stewardship communications, and donor experience activities that demonstrate the impact of philanthropic support and encourage continued engagement.

Works closely with fundraising staff to support donor cultivation efforts through donor profiles, briefing materials, stewardship plans, impact updates, and follow-up communications. Assists with donor tours, physician engagement opportunities, donor events, and stewardship experiences that deepen donor relationships and support future fundraising opportunities.

Fundraising Communications & Campaign Support

Supports integrated fundraising campaigns across direct mail, digital communications, stewardship initiatives, annual reporting, sponsorship programs, and event-related communications.

Works collaboratively with the Foundation's direct response fundraising partner to coordinate campaign content, timelines, approvals, and donor communications that support donor acquisition, donor retention, monthly giving growth, and fundraising participation.

Ensures communications across channels are aligned with fundraising objectives and include clear donor engagement and conversion opportunities.

Website, Digital Engagement & Donor Conversion

Maintains and coordinates Foundation website content, fundraising landing pages, donor stories, event information, stewardship content, and campaign messaging.

Supports email communications, digital fundraising initiatives, and donor engagement activities designed to improve donor conversion and retention. Monitors website and digital engagement activity to help identify opportunities to strengthen donor participation and fundraising performance.

Works to ensure all digital communications channels support the Foundation's fundraising priorities and provide meaningful pathways for donors, sponsors, event participants, and community supporters to engage with the organization.

Prospect Research & Pipeline Development

Conducts donor and prospect research to support major gift fundraising, sponsorship development, annual giving initiatives, and campaign planning.

Prepares prospect profiles and background research, identifies relationship connections, and supports cultivation planning and donor pipeline development. Assists fundraising staff in identifying opportunities to move donors, sponsors, event participants, and community supporters toward deeper engagement and philanthropic investment.

Event & Sponsorship Communications

Supports communications and stewardship activities related to Foundation events, including Fund Run, RevUp, donor experiences, sponsorship activations, and community engagement initiatives.

Working collaboratively with the Corporate & Community Engagement Officer, coordinates sponsor recognition, event communications, storytelling opportunities, post-event stewardship activities, and donor follow-up initiatives that strengthen engagement and support participant conversion to ongoing giving and involvement.

Reporting & Donor Insights

Supports tracking and reporting related to donor engagement, stewardship activities, campaign performance, sponsorship participation, prospect activity, website engagement, and fundraising communications outcomes.

Contributes to the analysis of donor engagement trends and communication performance to help improve donor acquisition, retention, stewardship, and fundraising effectiveness.

QUALIFICATIONS

  • Diploma or degree in Communications, Fundraising, Business Administration, Public Relations, Non-Profit Management, or a related discipline.
  • Three to five years of experience in fundraising, donor stewardship, communications, donor relations, prospect research, or nonprofit administration.
  • Experience supporting fundraising campaigns, donor engagement initiatives, stewardship programs, or annual giving activities preferred.
  • Experience with Raiser's Edge or similar CRM platforms considered an asset.
  • Experience managing website content, email communications, and digital engagement activities preferred.
  • Strong written communication, organizational, and project coordination skills.
  • Valid Criminal Record Check required.
  • Flexibility to work occasional evenings and weekends during events and campaign periods.
  • Primarily on-site position based at the Ridge Meadows Hospital Foundation office, with regular participation in Foundation, hospital, donor, and community events.

  • Strong donor stewardship and relationship-building skills.
  • Excellent written communication and storytelling abilities.
  • Experience coordinating fundraising communications across multiple channels.
  • Strong organizational and project management skills with attention to detail.
  • Ability to conduct donor and prospect research and support fundraising pipeline development.
  • Familiarity with digital communications, website content management, and donor engagement platforms.
  • Professional judgment, discretion, and ability to manage confidential donor information.
