Reporting to the Manager, Talent Acquisition, this person in this role provides support in the recruitment and selection process for the Authority. This individual assists with sourcing, screening, coordinating interviews, and ensuring a positive experience for a candidate and hiring manager. This person contributes to the smooth and efficient operation of recruitment and onboarding activities while ensuring alignment with organizational policies, employment legislation, and collective agreements.

ESSENTIAL FUNCTIONS

Recruitment and selection support

  • Support full-cycle recruitment activities for a variety of roles across the organization under the guidance of the Manager, Talent Acquisition
  • Assist hiring managers in developing and posting bilingual job advertisements in accordance with established standards and employment equity practices
  • Screen resumes, shortlist candidates, and schedule interviews and testing
  • Prepare interview materials and candidate evaluation tools
  • Conduct interviews, grade and assess candidates, and provide recommendations
  • Conduct reference checks
  • Prepare draft employment agreements or offer documentation for union and non-unionized candidates
  • Maintain confidentiality and ensure consistency throughout the recruitment and selection process
  • Ensure all recruitment records and documentation are accurately tracked and maintained
  • Promote accessibility, diversity, equity and inclusion in all recruitment practices

Talent sourcing and promotion

  • Assist in sourcing candidates through job boards, social media, networking, and other channels
  • Support the Authority’s participation in career fairs, educational outreach, and community employment events
  • Promote the organization as an employer of choice through professional and engaging communication with candidates and external partners

Onboarding coordination

  • Coordinate and prepare for employee onboarding to ensure a smooth and welcoming experience for new hires
  • Prepare employment letters, contracts, and pre-employment documentation as required
  • Work with colleagues (including payroll, compensation, learning and development and information technology) to ensure all onboarding steps are completed accurately and on time
  • Coordinate pre-employment requirements such as background checks, medicals, and the security pass application and processing in accordance with airport and regulatory requirements
  • Identify background, medical and security issues and escalated where necessary
  • Ensure new hire documentation and system entries are completed prior to start date
  • Provide new employees with information and resources needed for their first day and support their transition into the organization

Process coordination and compliance

  • Assist in the implementation and maintenance of recruitment and selection processes and tools
  • Support data entry, tracking, and reporting of recruitment metrics and activity levels
  • Ensure recruitment processes comply with applicable employment legislation, labour relations including collective agreements, and internal policies
  • Contribute to identifying and recommending new and innovative ways to streamline and improve recruitment, selection and onboarding processes
  • Coordinate and track all performance and probationary review timelines for unionized and exempt employees, ensuring required reviews are completed on schedule
  • Distribute performance review forms and related materials, and follow up with leaders and employees as required
  • Maintain accurate records and reporting related to performance review completion and documentation
  • Update performance review forms and templates and assist in implementing process improvements.
  • Support continuous improvement initiatives within the Talent Acquisition function as directed

Collaboration and administrative support

  • Compile data and monitor recruitment cycles, candidate experience and recruitment metrics
  • Provide administrative and coordination support to colleagues, including labour relations and bargaining, learning and development, and other HR related items
  • Collaborate with HR team to support workforce and succession planning
  • Communicate with hiring managers and candidates to ensure timely updates and a positive experience
  • Work with colleagues (including payroll, compensation, learning and development and information technology) to support onboarding activities
  • Prepare materials, templates, and communications related to recruitment and onboarding
  • Support employee engagement initiatives by assisting with event logistics, providing administrative support, and contributing ideas and feedback as a member of employee engagement committees
  • Other duties as assigned.

ESSENTIAL QUALIFICATIONS:

  • EDUCATION
    • College diploma in Human Resources, Business Administration or other related field (combination of education and experience may be considered)
  • EXPERIENCE
    • Minimum of three (3) years of experience in the field of human resources, recruitment
    • Recruitment, selection, and onboarding processes, including pre-employment and security clearance requirements
    • Strong interpersonal, and organizational skills
    • Documentation and data management
    • Managing multiple priorities and meeting deadlines in a fast-paced environment
    • Discretion and confidentiality
    • Excellent customer service skills and professionalism
    • Identifying opportunities for process improvement and innovation
    • Applicant Tracking Systems (ATS) and HRIS platforms
    • Metrics, analytics and dashboards to improve recruitment outcomes
    • Building and maintaining excellent working relationships, both internally and externally
    • Translating documents from one language to another
    • Working independently and collaboratively
    • HR principles, practices, laws and regulations:
      • Labour and employment law
      • Canada Labour Code (CLC)
      • Canadian Human Rights Act
      • collective agreements
    • Microsoft Office suite (Outlook, PowerPoint, Word, Excel, Teams)
    • Using social media platforms and online tools to portray an organization as an employer of choice
    • Continually learning HR theories, trends, and practices as well as new applications, methods, and techniques
    • Travelling to training courses, conferences, recruitment activities
  • LANGUAGE
    • Exceptional verbal and written communication skills in both official languages (English/French).

ASSETS

  • Certification (complete or in progress) of Human Resources Professional (CHRP) or equivalent designation
  • Experience in competency-based interviewing, administration of assessments and tests and recruitment metrics

ABOUT THE POSITION

Job requirements

  • Have a valid driver’s license (Class G or equivalent)
  • Provide a driver’s abstract (issued within the last month)
  • Obtain a Security clearance check for an Airport Restricted Area Identity Card (RAIC)
