POSITION:

The Senior Executive Assistant & Board Governance Lead provides proactive day-to-day administrative support to the President & CEO as well as support to members of the Senior Leadership Team and the Board of Directors. This position plays a critical role in enabling the CEO to function efficiently while also ensuring that organizational priorities, governance processes, and cross-functional initiatives are well-coordinated, executed, and sustained. This role also has responsibility for leading specific strategic and operational initiatives.

The position requires an experienced administrator who is highly organized, confident, self-motivated, possesses the highest standards of accuracy and maturity of thinking;someone who is discreet and a consummate team player. This individual will use highly developed judgment and initiative to coordinate executive office functions and drive assigned organizational initiatives. This person needs to be comfortable working in a fast-paced environment, able to balance many priorities and respond promptly to competing demands.

RESPONSIBILITIES:

This role has accountability for coordinating people, processes, and priorities across the organization. Responsibilities emphasize stewardship of various internal and external stakeholders, governance expertise, decision support, and enterprise-wide follow-through.

  • Act as a strategic partner to the President & CEO, enabling effective leadership, decision-making, and prioritization
  • Manage the CEO’s calendar and priorities, ensuring alignment with strategic objectives and governance requirements
  • Anticipate needs and ensure readiness of materials, decisions, and follow-through on key priorities
  • Lead the development of executive-level materials, including briefings, presentations, and correspondence
  • Establish and continuously improve systems, workflows, and processes that enhance efficiency and information flow
  • Lead end-to-end coordination of Board of Directors and committee meetings
  • Oversee preparation and integration of board materials, ensuring quality, accuracy, and timeliness
  • Ensure clear documentation of decisions, risks, and action items, with strong follow-up and accountability
  • Maintain governance records, policies, and processes aligned with best practices
  • Provide operational support across cross-functional initiatives and strategic projects
  • Monitor execution of organizational priorities, identifying risks, gaps, and opportunities for improvement
  • Develop executive dashboards and reporting, and serve as a central coordination point to ensure alignment and follow-through across teams

QUALIFICATIONS AND RELATED EXPERIENCE:

  • Post-secondary or equivalent combination of education and work experience.
  • Minimum 5–7 years of experience in executive support, operations management, or senior administrative roles, with demonstrated accountability for managing workflows and organizational priorities, as well working directly with boards, committees, and/or governance bodies.
  • Experience operating with a high degree of autonomy, discretion, and professional judgment.

REQUIRED SKILLS AND ABILITIES:

  • Advanced organizational and prioritization skills, managing multiple, competing priorities with minimal supervision.
  • Highly developed written and verbal communication skills, including preparation of executive- and board-level materials.
  • Strong governance literacy, including understanding of board processes, decision-making, and accountability structures.
  • Systems-oriented mindset with the ability to design, maintain, and improve workflows and operational processes.
  • Management and maintenance of efficient administrative and document management systems (paper/electronic) and processes for the office.
  • High level of digital fluency with office productivity tools, collaboration platforms, and project management systems. (Word, Outlook, PowerPoint, Excel, etc.).
  • Ability to work effectively, both independently and as a team member, demonstrated ability to take initiative and exercise sound judgment.
  • Strong commitment to ESC’s mission, values, accessibility, and inclusion.
  • French is an asset

WORK LOCATION:

  • Hybrid (Office at Yonge & Eglinton, Toronto), subject to organizational policies and operational requirements.

SCHEDULE:

  • Standard work week with occasional evening or extended hours, as may be required to support Board meetings, organizational events, or time-sensitive priorities.
