The Opportunity
UNICEF Canada's Donor Journeys team, part of the Individual Giving portfolio, is dedicated to retaining and stewarding monthly donors while onboarding and engaging one-time-gift donors to inspire additional giving throughout the year.
Reporting to the Senior Manager, Donor Journeys, the Senior Coordinator, Donor Journeys plays a pivotal role in supporting the delivery of high‑quality, high‑impact donor journeys supporting across multiple channels, including print, email, telemarketing, and SMS.
By serving as the administrative, production, and trafficking backbone of the team, this role will coordinate timelines, traffic assets, manage vendors and internal stakeholders, and ensure campaigns are delivered on time, on brief, and on budget. We’re looking for a fast‑paced, detail-oriented and collaborative person with an eagle-eye for detail to champion operational excellence.
Key Accountabilities
Campaign, Production & Project Coordination (70%)
- Coordinate end-to-end production processes for donor stewardship and fundraising appeals across direct mail, email, SMS and telemarketing channels.
- Traffic creative assets, proofs, copy, data files, and materials between internal teams, vendors, and partners.
- Manage print production workflows, including artwork supply, proof reviews, sign-offs, and delivery timelines.
- Conduct detailed email QA reviews (content, formatting, links, segmentation accuracy) across all assets before deployment.
- Support the team in sourcing and gathering content for appeals and donor communications, including images, case studies, and program updates from UNICEF Global.
- Support development of project plans, workback schedules, and status trackers.
- Maintain campaign documentation, contact reports, meeting notes, and version control.
Administrative & Operational Support (30%)
- Manage and track all invoices, purchase orders, and expense coding.
- Support in the maintenance of accurate campaign budgets and financial reconciliations.
- Support cross-team logistics, including gathering requirements, preparing briefs, test-and-learn documentation, campaign reviews, and consolidating information for stakeholders.
- Assist with pulling reports, data requests, and performance summaries from dashboards and internal systems.
- Conduct data accuracy checks, ensuring the right message is going to the right donor.
Qualifications
- 2–4 years of experience in an agency, marketing, production, or coordination role.
- Exceptional attention to detail, with a commitment to accuracy and quality.
- Experience coordinating production timelines, trafficking assets, and managing print production and proofs.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Comfortable working with budgets, invoices, POs, and expense tracking.
- Strong written and verbal communication skills.
- Proficient in Microsoft Office (Word, Excel, PowerPoint).
- Experience with email marketing tools, CRM platforms, and Project Management systems is an asset (e.g., Raiser’s Edge, Asana).
- A proactive, collaborative, problem-solving mindset.
