Position: Senior Associate, Events

Job Type: Full-time

Salary Range: $58,000–$65,000/annually (plus benefits)

The Senior Associate, Events is responsible for working with staff and volunteers to oversee and implement a

variety of events that support the goals of the Development Department. This position will play a key role in

building donor relationships through activities/events and supporting our annual fundraising goals.

Reporting

This position reports to the Associate Director of Development (Annual Giving).

Working Relationships

This position will work closely with: Director of Advancement, and senior members of the Development staff

team including the Associate Director of Development, Governors Council Manager, Membership Manager and

Major Gifts Officer(s), as well as periodic involvement with the Executive Director; Artistic Director; Associate

Artistic Director; Associate Executive Director, Food & Beverage Manager, and Director of Education and

Outreach.

This full-time position requires flexible work hours, working weekends especially during the height of the

season (May to September), and some travel may be required.

Key Responsibilities

1. Plan and implement donor events associated with all Shaw theatre (10 Openings in 2025), collaborating

with third party event managers as required.

2. Manage 2 Development Fundraising events, including all logistical elements (critical path, budgeting,

analysis), in collaboration with Associate Director of Development.


• I n-house Events include The Shaw Shivaree with the potential for other/new fundraising events (virtual or

otherwise) as agreed upon with supervisor. Includes working with and supporting a community volunteer

team.


• As the primary Development contact, assist in planning and implementation of any additional fundraising

events, including Shaw Boxing, in collaboration with third party event managers.

3. In coordination with the Governors Council Manager, support both onsite and offsite Governors Council

events, including but not limited to:


• Invited Directors Project (GC invited)


• GC Weekend, GC Cocktail events, and out of town donor cultivation events


• Virtual events as needed.


• Support for AGM Weekend Dinner (whereby the AGM weekend seminar handled by Executive Assistant to

the CEO)

4. In coordination with the Director of Advancement and Campaign staff, support onsite and offsite campaign-

related events, as needed.

5. Coach and lead the position of Development Events Coordinator.

For the majority of these Development events, this position will be responsible for:


• Ensuring accurate and complete tracking of activities through the donor database, Tessitura (e.g. Event

invites/RSVPs, Opening ticket processing, contribution payments, tax receipts, depending on what the

event requires);


• Financial aspects, including:

– Preparation of the event budget/cost estimate;

– A post-event budget and summary of recommendations to assist with future planning;

– Timely receipt, tracking and payment of invoices;


• The coordination of print materials;


• Interdepartmental communications including function sheets, identifying and communications with

artists and creative team participation in events as required (eg. coordinate with Executive Assistant of

the Executive Director, who will send invitations to what, whereby the Senior Associate of Events and

their team will handle track RSVP’s)

In addition, this position will:


• Maintain records of events, including critical paths as needed


• Participate in regular Development Team meetings


• Assist with department budget and goal setting strategic sessions


• Keep up to date on digital platform requirements


• Act as back-up if required for virtual events

– GC Townhall Meetings/Season Announcement, etc.

Accountability

Performance will be measured by:


• Successful execution of events;


• Creation of post–event reports, including analysis of events (what worked well / what to improve for

future);


• Ability to work well with others in Development and cross-departmentally, and to direct staff as

necessary, in order to foster strong communications and collaboration, meet deadlines and budget while

adhering to the policies and procedures of the organization;


• Ability to lead and motivate direct report (Development Event Coordinator).


• Ability to work with volunteers;


• Ability to provide creative solutions to problems as they occur;


• Ability to protect the mission, goals and values of the organization.
