The Opportunity
Reporting to the People and Operations Lead, the role of Sr. Administrative Assistant is a key part of the core engine of CAEH's work to end homelessness in Canada. This isn't a traditional admin role — it's a high-impact position for someone who thrives in a fast-moving social enterprise, builds smarter systems from scratch, and takes real ownership of outcomes.
You'll keep the organization running at full capacity by driving excellence across administration, people and strategy support, communications, events, fund development, contracts, and finance — all in service of a mission that matters.

Key Duties and Responsibilities

In This Role, You will:
- Support the sales intake process, helping to qualify opportunities, coordinate stakeholder touchpoints, and keep the pipeline moving efficiently.
- Drive end-to-end consulting contract development, from drafting and reviewing terms to finalizing agreements that move mission-critical work forward.
- Coordinate seamless travel logistics for staff, including airfare, accommodations, and ground transportation, so the team can focus on impact.
- Contribute to grant proposals and reporting, helping secure the funding that fuels CAEH's work to end homelessness in Canada.
- Fuel event administration and fundraising activities that build community and drive organizational growth.
- Support digital operations including website edits, translation, and webinar coordination to keep CAEH's presence sharp and accessible.
- Produce and polish high-quality documents, presentations, and communications that reflect CAEH's voice and values.
- Champion the full employee lifecycle — from attracting top talent through recruitment and onboarding, to building retention programs and managing thoughtful offboarding.
- Draft and continuously refine internal processes and communications channels, ensuring the team stays aligned, informed, and equipped to do their best work.
- Power and facilitate meetings from start to finish — scheduling, agenda development, facilitation, IT support, and sharp minute-taking for both virtual and in-person sessions.
- Support budget tracking and accounting activities, bringing accuracy and accountability to financial operations.
- Architect and manage a dynamic document management system that keeps the organization organized, compliant, and ready to scale.

Required Skills and Knowledge:
- Passion for ending homelessness, a belief that it's possible, and a sense of urgency to get there.
- Minimum 5 years' experience leading administrative projects and improving processes in a fastmoving, mission-driven environment.
- Direct experience working within a social enterprise, non-profit, or purpose-driven organization with an understanding of the unique operational demands they present.
- Demonstrated experience supporting fund development activities including grant writing, reporting, and contribution to revenue-generating initiatives.
- Experience in business development support, including sales intake coordination, consulting contract drafting, and stakeholder pipeline management.
- Strong negotiation and contract management skills with the ability to protect organizational interests while building productive partnerships.
- Advanced proficiency in Microsoft Office, and working knowledge of HRIS, content management, webinar, collaboration, and CRM software platforms.
- Highly organized with exceptional attention to detail and the ability to self-manage competing priorities, pivot quickly, and remain calm under pressure in a virtual office setting.
- Demonstrated sound judgment with the ability to independently identify, analyze, and problem solve in complex or ambiguous situations.
- Strong financial literacy with experience supporting budget tracking, accounting activities, and financial reporting.
- Proven ability to facilitate meetings, drive collaboration, and produce clear documentation that moves decisions forward.
- Exceptional interpersonal and customer service skills with a demonstrated ability to build effective relationships with staff, senior leadership, and external stakeholders.
- Advanced written and verbal communication skills with experience producing polished, on-brand materials for diverse audiences.
- Ability to embrace change, navigate uncertainty, and thrive in an entrepreneurial, values-driven organization.

Assets & Preferred Qualifications
- Experience in homelessness, housing, or community systems work
- Experience in nonprofit, public sector, consulting, or social enterprise environments
- Experience facilitating, coaching, advising, or delivering services
- Experience applying equity, anti-oppression, decolonizing, or systems change approaches
- Lived expertise related to homelessness or housing precarity
- Credentials in administration (e.g. Bachelor of Business Administration)
- Bilingualism (English/French)
