TEAO Canada is seeking a volunteer Secretary / Administrative Director to support the governance, organization, and operational flow of our growing nonprofit organization.

This Board Director role supports the Founder, CEO, and Chair by helping maintain accurate documentation, board records, meeting materials, action items, and governance processes. The role is ideal for someone with experience in administration, governance, executive support, nonprofit operations, project coordination, or board support.

The successful candidate will be organized, detail-oriented, reliable, and comfortable supporting multiple priorities in a growing organization dedicated to transforming mental health through trauma-responsive, community-rooted, and embodied care.

Key Responsibilities:

  • Prepare, organize, and distribute board meeting agendas and meeting packages
  • Record, maintain, and distribute accurate board meeting minutes
  • Track action items and support follow-up on outstanding deliverables
  • Maintain governance documentation, policies, reports, and organizational records
  • Support board communications and scheduling coordination
  • Assist with annual meetings, reporting requirements, and documentation preparation
  • Collaborate with the CEO and Board Directors to support administrative flow and accountability

Ideal Candidate:

  • Experience in administration, governance, project coordination, executive support, nonprofit operations, or a related field
  • Strong organizational skills and attention to detail
  • Excellent written communication and documentation skills
  • Comfortable working independently and collaboratively
  • Familiar with Google Workspace, Zoom, shared drives, and digital tools
  • Passionate about community impact, mental health, equity, and systems change
