Summary
Okyerema International Foundation (OIF) is looking for a Secretary for the Board of Directors to join our volunteer leadership team in September 2025.
Description
The Secretary of the Board will play a critical role in supporting the Board of Directors by ensuring effective documentation, communication, and administration. This position requires an organized and proactive individual who can manage board-related responsibilities with a high level of attention to detail.
Role and Responsibilities:
- Schedule, coordinate, and organize all board and committee meetings, in collaboration with the Board Chair.
- Prepare and distribute meeting agendas, notices, and supporting documentation in a timely manner.
- Record accurate and comprehensive minutes during meetings, ensuring key decisions, actions, and follow-ups are documented.
- Maintain and archive all board records, minutes, and governing documents securely and accessibly.
- Act as the primary point of communication for board members, ensuring they are informed of relevant updates and actions.
- Facilitate communication between the board and other organizational committees
- Ensure compliance with all organizational by-laws, legal regulations, and governance practices.
- Assist in the onboarding of new board members, including orientation materials and training.
- Monitor and maintain records of board member attendance, terms, and commitments.
Time Commitment
- 10 to 15 hours per month, inclusive of a Board meetings and committee/special project meetings, fundraising events, and stakeholder engagement.
- Term: 2 years, renewable.
- Board meetings are held every 4 to 6 weeks, virtually via Zoom or other online meeting site and are approximately 1 – 1.5 hrs. duration
- Committee meeting schedules will be determined by the committee members
- Special or emergency meetings may be arranged as needed
Desired Skills and Experience
- Previous experience serving on a board or in a governance role within a non-profit organization.
- Demonstrated experience in recording meeting minutes and managing communications.
- Knowledge of not-for-profit board governance and compliance requirements.
- Strong project management experience, with the ability to manage multiple priorities and deadlines effectively.
- Excellent written and verbal communication abilities.
- Ability to maintain confidentiality and handle sensitive information.
- Proficiency in using office management software and tools for document management and communication.

Okyerema International Foundation (OIF) is a Canadian-registered non-profit charitable
organization that has been dedicated to supporting the scholastic dreams of underprivileged
students in Ghana for over 12 years (2010). It is rooted in the belief that education is the key to
breaking the cycle of poverty.
We are a small but determined grassroots organization born from the compassion and firsthand
experience of our founder and president, Paul Ameyaw. Growing up in the Techiman
Metropolitan of Ghana, Paul witnessed many childrens’ challenges in accessing education. Paul is determined to make a difference; he took action by raising funds to provide bursaries that
help underprivileged students stay in school and pursue their dreams.
Through community-driven fundraising efforts, OIF has supported numerous students on their
academic journeys. After a brief pause post-COVID, the Foundation has been reignited with a
passionate team of volunteers, working towards building a fully operational support system.
With renewed energy, we are committed to bridging the gap in education access—one bursary
at a time.
