REQUEST FOR QUOTES (RFQ): AUDIT SERVICES FOR FISCAL YEAR 2026

1. INTRODUCTION

The Middlesex Law Association (MLA), a not-for-profit professional organization founded in 1879, is seeking quotes from qualified auditing firms for the provision of annual audit services for the fiscal year ending December 31, 2026.

The selected firm will be recommended for appointment at the 2026 Annual General Meeting (AGM), to be held by February 28, 2026, and will conduct the audit in accordance with Canadian generally accepted auditing standards (GAAS) and relevant provisions under the Ontario Not-for-Profit Corporations Act (ONCA).

2. ABOUT MLA

The Middlesex Law Association supports nearly 1,000 legal professionals in Middlesex County through advocacy, library services, continuing professional development, and professional community support. The Association is governed by a volunteer Board of Directors and is funded through membership dues, service revenues, and external partnerships.

3. SCOPE OF WORK

The selected auditor will:
- Conduct an independent audit of the MLA’s financial statements for the fiscal year ending December 31, 2026
- Deliver final audited financial statements and a management letter to the Board by January 30, 2027
- Attend the February 2027 Annual General Meeting to present the audit and respond to member questions
- Ensure full compliance with applicable standards and ONCA requirements

4. PROPOSAL REQUIREMENTS

Firms must include:
- A summary of relevant experience with not-for-profit organizations in Ontario
- Resumes of key engagement staff
- Description of audit approach and methodology
- Proposed work schedule and timeline
- A detailed fee structure, including any applicable taxes and disbursements
- Confirmation of professional liability insurance and independence
- Three (3) references from not-for-profit clients

5. EVALUATION CRITERIA

Submissions will be assessed using the following criteria:
- Experience auditing Ontario not-for-profits (30%)
- Audit approach and timeline (25%)
- Cost-effectiveness and clarity of fee structure (25%)
- References and reputation (10%)
- Quality and completeness of submission (10%)

6. TIMELINE
