Recruitment and Admissions Coordinator
Position Description
Reports to: President
Employment status: Full-time salaried (35 hours per week); staff
Works closely with: Registrar, Director of Advancement, Communications and Marketing Associate, Directors of Denominational Formation
Relates to: Faculty and Program Coordinators
POSITION SUMMARY
Situated on the University of British Columbia (UBC) Vancouver campus, VST seeks an experienced and community-minded Recruitment and Admissions Coordinator to plan and implement strategies for student recruitment for all degree programs. The Recruitment and Admissions Coordinator will also respond to all enquiries about programs and admissions, tracking the process from inquiry to application to registration, and help maintain contact with alumni in ways that foster their ongoing connection to the VST community.
SPECIFIC RESPONSIBILITIES AND FUNCTIONS
Recruitment
- Provides leadership for recruitment for VST degree programs
- Plans and organizes recruitment information and advertising
- Leads recruitment strategizing
- Creates and maintains a schedule of local and national denominational or other community events and meetings where VST recruitment would be possible
- Represents VST for the purpose of recruitment as required
- Ensure that faculty and other representatives of VST have relevant materials when they represent the School
- Initiates new events and maintains ongoing events such as VST Sunday, Explorer’s Weekend, and VST Open Houses
- Helps plan new and existing events and outreach to Alumni both on campus and coordinated with Synod/Diocesan/local conferences around the country, in coordination with the President’s Office and the Faculty
- Establish and maintain a culture of recruitment at the school
- Helps coordinate strategies and workplan in collaboration with Marketing & Communications, Registrar and the Dean’s Office in things related to recruitment of new students
- Prepare and monitor annual recruitment budget
- Analyze and produce statistical reports on recruitment, application, trends. etc.
Admissions
- Organizes and implements Admissions process for all programs except ISP together with the Registrar
- Undertakes admissions procedures, responding to all web-based, email, and phone requests for information on VST programs, discussing program options with enquiring prospective students, arranging meetings for prospective students
- Tracks all admissions data for prospective students, including entering and updating database with prospective student information, beginning and maintaining files for each person applying to a VST program (files are shared through Populi with the admissions team.)
- Collects admissions materials and maintains admissions files in Populi
- Maintains admissions spreadsheet and updates it as appropriate
- Corresponds with applicants before they are reviewed by the Admissions Committee
- Prepares admissions files for Admissions Committee and sits on Committee
- Assists the Chair of Admissions Committee to Plan and Coordinate Monthly Admissions Meetings
- Produce necessary reports on different stages of enrolment pipelines, from admitted students to enrolments as needed
- Assist the Registrar in enhancing following up process toward admitted students prior to enrolments
- Collaborate with Student Services & Support in providing necessary services to admitted students prior to their enrolments, such as providing bi-monthly information session and resources for newly admitted students, providing GCMS/ATIP notes as needed, organizing bi-annual immigration workshop, and providing and updating resources for newly admitted students as necessary
QUALITIES
- Knowledge and experience in academic recruitment
- Strong organizational skills and attention to detail
- Excellent written and oral communication skills
- Ability to work with public
- Good general computer skills (especially Outlook and Excel) essential and familiarity with databases (especially Populi) an asset
- Knowledge of VST curriculum and programs an asset
- Commitment to the vision and mission of the Vancouver School of Theology
This is a salaried position with benefits package.
