1 FTE - Contract - September 2026 to May 2027

Central Toronto Youth Services (CTYS) is an accredited Children's Mental Health Centre with a range of services and programs for youth and families across Toronto. These services are client-centered and flexible, geared for youth and families with a range of mental health needs who may have difficulty accessing traditional office-based services.

In this role, you would perform a variety of clerical tasks as the first point of contact for clients, staff and visitors to the agency. Under the direction of the Manager, Operations and Administration, you will provide exemplary support in the areas of reception, filing, word processing, scanning and supporting general office duties and administrative tasks. These tasks will require excellent customer service skills, a high degree of attention to detail, a strict adherence to our privacy and confidentiality policies and the ability to prioritize work within a dynamic team setting. This is an on-site role with shifts scheduled Mondays to Fridays either between 10 am to 6 pm or 11:00 am to 7 pm.

Major Responsibilities

• Welcome clients, vendors, staff and visitors in professional and friendly manner

• Tracking client appointments and notifying relevant staff representative of their arrival

• Maintain the reception and waiting room area in a tidy and presentable manner

• Answer and log incoming calls using a multi-line phone system, and transfer callers appropriately in timely manner

• Monitor and redirect general office voicemails, email mailboxes and fax lines

• Maintain file and copier rooms in a tidy and organized manner

• Sort and distribute incoming mail, prepare and post outgoing mail, arrange couriers, and manage shipping and receiving

• Prepare and circulate meeting materials including minutes, agendas and document packages for all-staff meetings

• Provide support in planning and registration efforts for corporate events, specifically the Annual Meeting, All-Staff Meetings and related activities

• Provide admin support including scheduling and filing systems

• Coordinate office access for facilities maintenance including shredding company, HEPA, HVAC, watercooler suppliers, catering and property management

• Ensure all communication meets CTYS Policy and Procedure requirements and accreditation standards

• Maintain PRESTO card and Electronic gift card distribution and tracking system

• Maintain YMCA card sign in/ sign out system

• Compiling and maintaining agency Contact List as staff changes occur

• Activate emergency response procedures when necessary

• Participate as part of the technical and advance admin team meetings at all staff meetings and functions

• Participate in educational and training activities, as required, to acquire and maintain relevant knowledge and skills

• Commitment to agency’s equity, inclusion, and anti-racism policies and practices

• Provide support for other team members due to vacation/illness/emergency as assigned

• Support and participation on the Website Administration Team and in Social Media activity and updates

• Support HR onboarding and offboarding assignments, job postings and recruitment efforts

• Fixed in office schedule as per office hours, M&F 9-5, Tu, W, Th 11-7.

• Other duties as required

Knowledge and Skills Required

• Community College diploma or related experience in similar role

• Minimum one (1) year experience as a receptionist and two (2) years experience in an administrative role

• Experience in social services environment or as front-line staff would be an asset

• Willingness and ability to work flexible hours based on operational needs

• Ability to engage with agency clients in a professional and courteous manner

• Ability to work collaboratively and cooperatively with team and other staff members

• Excellent verbal and written communication skills

• Strong organizational skills and ability to set priorities

• Technical proficiency including Microsoft Office Suite and Outlook Calendar

• Ability to manage confidential information and uphold privacy standards

• Demonstrated conceptual and analytical skills when compiling data

• Demonstrated ability to work within an inclusive and diverse agency

• Fluency in another language is an asset
