Status: Full-Time (37.5 hours per week)
Salary: $50,000 annually
Reports To: Executive Director
Location: Gilda's Club Simcoe Muskoka, Barrie, Ontario
Hours: Includes evening hours until 7:00 p.m. to support expanded programming on Tuesday, Wednesday, and Thursday evenings.

Position Summary
The Reception & Member Support Coordinator is the heart of Gilda's Club Simcoe Muskoka.
This role is far more than a reception position, it is an opportunity to be the welcoming face of an organization that changes lives every day. As the first person many members, volunteers, donors, and visitors encounter, you will help create the sense of compassion, connection, and belonging that defines the Gilda's Club experience.
Gilda's Club is fortunate to have a dedicated team of volunteer receptionists who generously give their time to help welcome members and visitors to our clubhouse. As we continue to grow and expand our programming, including evening hours on Tuesdays, Wednesdays, and Thursdays, we are seeking an individual who can complement this incredible volunteer team by dividing their time between reception, member support, program coordination, and administrative support.
Whether greeting a member attending their first support group, helping a family access resources, preparing a room for an evening program, coordinating member registrations, or supporting the Executive Director with key administrative functions, your presence will help ensure every individual feels welcomed, valued, and supported.
The successful candidate will be a compassionate relationship-builder with exceptional interpersonal skills, a welcoming personality, high emotional intelligence, strong organizational abilities, and a genuine desire to make a difference in the lives of individuals and families impacted by cancer.
Key Responsibilities Reception & Member Experience
- Serve as a welcoming and compassionate first point of contact for members, volunteers, donors, community partners, and visitors.
- Create a warm, professional, and inclusive environment that reflects the values of Gilda's Club.
- Answer and direct incoming telephone calls, emails, and general inquiries.
- Support prospective and current members in accessing programs, services, and resources.
- Assist with member registrations, attendance tracking, and program enrollment.
- Maintain a welcoming, organized, and professional reception area.
- Foster a culture of kindness, dignity, respect, and belonging throughout the clubhouse.
- Provide reception coverage when volunteer receptionists are unavailable.
Member Support & Program Coordination
- Assist with room setup and preparation for support groups, workshops, educational sessions, children's programs, and special events.
- Coordinate program materials, online program calendar, and participant resources.
- Support evening programming and help ensure all spaces are welcoming, organized, and prepared for members.
- Assist with program registration systems and member communication platforms.
- Respond to member inquiries and connect individuals with appropriate programs, resources, and supports.
- Support volunteer engagement and coordination as required.
- Assist in creating a positive and seamless experience for members participating in programs and activities.
- Support the implementation and ongoing use of the organization's new program registration and member management platform.
Administrative & Executive Support
- Provide administrative support to the Executive Director.
- Prepare correspondence, reports, presentations, and meeting materials.
- Assist with data entry, reporting, filing, and document management.
- Support the effective use of organizational software and member registration systems.
- Assist with maintaining accurate organizational records and administrative processes.
Organizational Support
- Assist with special events, community outreach initiatives, and fundraising activities in collaboration with team members.
- Support the continued growth and expansion of programs and services throughout Simcoe Muskoka.
- Collaborate with staff, volunteers, and community partners to ensure an exceptional member experience.
- Contribute to a culture of teamwork, innovation, flexibility, and continuous improvement.
- Perform other related duties as assigned.
Qualifications
Education & Experience
- Post-secondary education in administration, human services, social services, nonprofit management, or a related field is preferred.
- Minimum two years of experience in reception, administration, customer service, hospitality, nonprofit, healthcare, or community support settings.
- Experience working with vulnerable populations or within a member-focused environment is considered an asset.

This position offers:
- Annual salary of $50,000
- Three (3) weeks of paid vacation
- One (1) week of paid personal time
- One (1) week paid organizational closure between Christmas and New Year's
