Department: Finance

FTE: 1.0 (37.5 Hours a Week) Term Position

Annual Salary Range: $52,000, commensurate with experience, plus a comprehensive benefits package

Location: Wycliffe Canada Office, Calgary, In-person/On-site

Anticipated Start Date: June 1, 2026 (anticipated end date of February 1, 2027)

About the Position:

The Receipts Assistant Manager will be involved in supporting the Receipts Manager in the supervision of Receipts staff, as well as interaction with donors and other departments. The Receipts Assistant Manager will be expected to acquire an extensive knowledge of the policies and processes of the Receipts department. They will be responsible for the timely and accurate processing of funds for Wycliffe Canada, managing monthly giving, maintaining donor information, and providing donation-related services for staff.

This position plays a key role in the success of Wycliffe Canada’s vision and mission, ensuring that donations are received and processed correctly so funds are available for the work to be done.

Key Responsibilities

  1. Processing of Donations
    1. Receive various forms of donations and prepare them for processing

○ Ensure accurate and timely entry of donations into the database software

○ Handle difficult or complicated donations, such as estates and gifts in kind

○ Follow relevant Finance and Receipts policies, procedures, and deadlines

○ Uphold a standard of excellence by collaborating and verifying with other team members

  1. Supervision of Receipts Team
    1. Assist in overseeing the division of work in the department and ensuring that all tasks are being completed in a timely and effective manner

      ○ Ensure all staff in the department understand their roles and responsibilities and are performing them to a satisfactory level

      ○ Problem-solve issues that come up, including follow-up with donors or system providers, and escalate to the Receipts Manager when needed

○ Communicate with the team proactively to contribute to a positive work environment

○ Provide task coverage for Receipts Clerks and the Receipts Manager during absences

  1. Cultivating Good Donor Relations
    1. Respond to donor inquiries via phone and email in a timely, courteous, and professional manner

○ Make database updates and changes while maintaining confidentiality guidelines

○ Contact donors to ask questions or provide information as needed

  • Assist with donor interactions that require careful or extended follow-up and solve donor issues
  • Remain up-to-date on fundraising campaigns and donor relationships by liaising with the Development and External Engagement departments
  1. Advanced Donation Management and Collaboration with the Finance Team
    1. Manage and run recurring donation processes on a monthly basis

      ○ Together with the Receipts Manager, follow up on returned items and carry out corrections to modify incorrect donation entries

      ○ Liaise with the Finance department to keep projects up to date, manage retirements, and make sure that funds are being allocated correctly

      ○ Assist with monthly, month-end, yearly, and year-end procedures, reports, reconciliations, and receipting

Skills and Abilities:

  • Customer-oriented, with a servant attitude, and the ability to listen and respond to inquiries in a courteous and professional manner. Ability to assist the Interim Receipts Manager.
  • Demonstrated excellence in detail-oriented work requiring a high degree of accuracy
  • Deadline-oriented, organized, and able to effectively prioritize tasks/responsibilities
  • Dedicated to teamwork, cooperation, and leading by example
  • Competent in the use of e-mail providers, web-based finance software, and Microsoft Office
  • Able to work legally in Canada
  • Clear criminal record check, credit check
  • Agreement with and willingness to sign Wycliffe Canada’s Statement of Faith, Standard of Conduct, and Conflict of Interest Policy

Professional Qualifications:

  • 2-5 years of bookkeeping/accounting experience
  • Outstanding organizational skills, along with legible handwriting
  • Excellent computer skills and accuracy with figures
  • Exceptional verbal and written communication skills
  • Ability to work proactively and independently
  • A track record of leadership success and supervisory skills
  • Familiarity with DonorPerfect is an asset
