Projects Coordinator (full time, short term contract) – 1 position

Applegrove Community Complex (Applegrove) is a multi-service community organization that works with community members and partners to offer programs and services for people of all ages, host meetings and events, support action on local issues and provide local job and volunteer opportunities in support of a caring and vibrant community. As one of ten community centres in Toronto managed, operated and maintained by volunteer Boards of Management, Applegrove is part of the City of Toronto’s Association of Community Centres, subject to the same requirements as other City Agencies and is accountable to Toronto City Council. Applegrove is also a registered not-for-profit and charity.

PRIMARY RESPONSIBILITY

As part of the management team, the Projects Coordinator supports and coordinates the development, implementation and evaluation of a portfolio of diverse projects that address community needs and advance Applegrove strategic priorities. They provide advice and support the Executive Director on a range of activities, interface with project partners, support policy development and ensure that deliverables are effectively tracked and implemented. Current projects include modernization of Applegrove’s volunteer program including processes and systems for volunteer recruitment, engagement, training and development, retention and administration; and development of an agency-wide digital document filing system.

DUTIES AND RESPONSIBILITIES

  • Monitors, oversees, operates and supports projects for the Centre, from inception to completion, ensuring that project deliverables are effectively tracked and implemented/delivered.
  • Supports the development, implementation, enhancement and use of Centre systems, tools and policy to facilitate projects, and organizational planning and performance.
  • Supports project partnership building and manages partner relationships and day-to-day interactions.
  • Ensures project compliance with applicable legislation including but not limited to Health and Safety, Collective Agreements, Agency and City of Toronto policies, MFIPPA, etc.
  • Conducts broad research and analysis with consideration of relevant policy, legislation and best practices.
  • Develops materials for successful grant and corporate funding, sponsorship applications and proposals, coordinates research and proposal writing in consultation with relevant staff and partners, ensuring that applications/proposals are submitted in a timely manner.
  • Assists in carrying out agency communications, including social media, newsletter and other materials.
  • Provides input into and administers assigned budget, ensuring that expenditures are controlled and maintained within approved budget limitations.
  • Prepares information summaries, reports and status updates for the Executive Director and project stakeholders as required.
  • Provides oversight to project staff, volunteers, and placement students.
  • Participates as an active member of the Centre’s management team.
  • Models and creates a supportive and collaborative workplace culture that advances diversity, equity, inclusion and belonging
  • Utilizes tact, discretion, and judgement at all times, including within the Centre’s teams and with external partners, allies, and stakeholders
  • Contribute to cross-team projects, working groups and initiatives while building a rapport with colleagues from other teams

QUALIFICATIONS

  • Post-secondary education in non-profit management, community services, public administration or related discipline, or the equivalent combination of education and experience.
  • Minimum 2 years in a project leadership role, including project development, management and evaluation.
  • Strong research, information management and analytical skills.
  • Excellent oral and written communication skills.
  • Demonstrated ability to innovate solutions to challenges.
  • Ability to multi-task effectively and meet competing deadlines through a customer-centric approach including attention and focus on detail, high organizational standards and quality work.
  • Knowledge of fundraising strategies and application processes.
  • Demonstrated success in promoting equity, diversity and inclusion
  • Strong interpersonal skills and ability to work as a team member.
  • Computer proficiency: Microsoft Office, Excel, Powerpoint, Adobe and other applications.

TERMS OF EMPLOYMENT

Position Status Full Time Contract - Contract Period September 2025 – December 31, 2025

Core Business Hours - Monday to Friday 8:30 a.m. – 6:00 p.m.

Hours per Week - 35 hours per week, some evening and weekend hours may be required

Union Status - Management

Annual Salary Range - $63,419 – $72,121, City of Toronto non-union wage grade 4

Reports to- Executive Director

Location- Onsite, with occasional opportunity for remote work

OTHER REQUIREMENTS

  • A satisfactory Police Records Check will be required (Applegrove to cover cost)
