The Role
A Project Mobilizer is an important part of the There Consulting team. This role reports directly to the Director of Operations and plays an essential, supportive administrative role in projects, producing high quality work. Project Mobilizers have the right mix of qualities, skill and experience to help us deliver exceptional results for our clients.

We are There
We are a Black-owned, women-led, values-driven management consulting firm that prioritizes working with small- to medium-sized not-for-profit organizations, foundations and NGOs that are committed to creating a better world. Our consultants work domestically and internationally with clients who are changemakers doing critical work in social, gender and environmental justice; violence against women; HIV/AIDS; 2SLGBTQIA+ rights; community-based health; housing; youth employment; mental health; newcomer and settlement; prisoner justice and addictions services. We also work with and support the development of a range of coalitions, coordinating committees, networks, and consortiums. We currently operate both in-person and virtually with team members and associates in various cities.

Project Mobilizers are responsible for providing general support to all assigned projects, working autonomously and collaboratively on a wide variety of tasks and deliverables. You will work directly with the Co-CEOs, Director of Operations, Associate Consultants and Core Team to intimately support the work of various not-for-profit organizations locally, nationally and internationally. There will never be a dull moment, and your detail-oriented drive to deliver and find administrative efficiencies will be highly valued.
Generally, as a Project Mobilizer, you will work with us to:
- Complete a wide variety of administrative project related tasks that facilitate project delivery.
- Assist with the coordination of all projects, supporting project meetings and task mobilization.
- Mobilize elements of the project through meeting scheduling and direct engagement with project rights and interest holders.
- Support technological aspects of projects including, but not limited to, virtual meetings, whiteboarding and other web-based productivity tools.

Let's break down the role
Project Work and Coordination (70%)
- Supporting the delivery of virtual meetings, focus groups and engagements, taking detailed notes and tracking action items.
- Scheduling appointments and project-related meetings, using scheduling software such as Koalender and Google Calendar, coordinating with the Co-CEOs, Director of Operations, Associate Consultants and external partners.
- Understanding and prioritizing workflows and multiple project requirements.
- Managing and tracking data collection and rights and interest holders engagement processes while ensuring a seamless client experience.
- Following up on project scheduling and working closely with Project Leads.
- Regular communication with clients and other external rights and interest holders.
- Gathering information and analyzing project information.
- Supporting report template preparation, proofreading, formatting and the logistics of documents.
- Developing presentation decks, agendas and other project related materials.
- Providing other forms of surge capacity where needed.
Administrative Duties (30%)
- Scheduling/organizing the administrative logistics of project-related meetings and events (travel, booking rooms, room set up and materials, handling technology, catering, etc. to ensure a smooth, successful session).
- Updating and project task-tracking in ClickUp.
- Storing, filing, creating and organizing project folders and documents in Google Drive.
The work environment
The Project Mobilizer can work from a home office anywhere in the GTA (Greater Toronto Area) with a strong internet connection and cellular reception that enables them to be available within our office hours (8am – 6pm ET) and to work confidentially, effectively, efficiently and participate in or lead tele or video conference meetings. The Mobilizer will provide their own phone and laptop with appropriate software and security applications.
Our work is both virtual and in-person, and some evenings and weekend work may be required. Meetings with the Co-CEOs, Director of Operations, Project Leads and other team members will usually take place online. We maintain a virtual office to decrease isolation, host meetings and co-work. We work hard, encourage role autonomy, practice accountability and respect people’s ability to manage their own time while delivering on commitments.
What you bring
Key Qualifications and Competencies
- Post-secondary education coupled with 3-5 years of office/project administration or coordination experience, preferably within the not-for-profit and social impact sectors.
- Technological prowess across SaaS platforms and productivity tools (e.g. ClickUp, Google Workspace, Zoom, MS Office, Miro, Atarim, etc.).
- Demonstrated project coordination / management skills.
- Seriously badass scheduling skills with a keen attention to detail.
- Excellent client service skills and a commitment to building and maintaining strong, respectful and effective relationships.
- Proactive in following up on details, anticipating issues and timely follow up on all requests.
- Capacity to manage multiple priorities and the ability to work in a supportive, collaborative and solution-focused way horizontally across the business.
- Problem-solving skills and flexibility, with the ability to adapt and pivot to ever changing demands.
- Experience with report and presentation preparation.
- Professionalism in working with senior executives and navigating relationships with acuity.
- Demonstrated commitment to values driven practice that is feminist, anti-racist, anti-oppressive and accessible.
- Thrives in a fast-paced, dynamic, small-team environment.
