Our conferences, continuing legal education (CLE) programs and special events bring together leaders, practitioners and experts from across the province. We are growing, modernizing and streamlining how we deliver high-quality programming and we are looking for a strong operational professional to help us do it.
The Opportunity
We are seeking a highly organized and detail-oriented Project & Events Coordinator to support the planning and delivery of OTLA’s conferences, CLE programs and member events.
This role is ideal for someone who thrives in a fast-paced event environment, balancing detailed planning with confident, hands-on delivery. You are energized by working with people, managing moving parts and ensuring that conferences, CLE programs and special events run seamlessly from concept to execution.
You will work closely with the Director of Member Programs & Sponsorship and collaborate across the team to deliver polished, engaging and professionally executed programs that provide meaningful value to members and sponsors. This is a highly visible role that requires strong interpersonal skills, initiative and a calm, solutions-focused approach during live events.

What You’ll Do
Event Planning & Coordination
- Coordinate all logistical elements for conferences, CLE programs and special events, including venues, catering, A/V, technology, accessibility and vendor arrangements.
- Maintain detailed project plans, timelines and task trackers to support efficient event delivery.
- Serve as primary contact for speakers, confirming participation, collecting materials and coordinating logistics.
- Manage event registration processes, including oversight of event management platforms, attendee lists and badge preparation.
- Coordinate exhibitor and sponsor logistics, including booth assignments and on-site operations.
- Ensure compliance with Law Society of Ontario’s Continuing Professional Development (CPD) accreditation requirements and complete required reporting.
Operational Support & Reporting
- Support budget tracking and monitor event-related expenses.
- Track registrations, attendance and engagement data and prepare post-event reports.
- Coordinate post-event communications and feedback surveys to support continuous improvement.
- Maintain accurate event records and documentation.
Team Collaboration
- Provide event information and logistical details to support promotional activities.
- Collaborate with colleagues to streamline workflows and improve event systems and processes.
- Contribute to OTLA’s ongoing operational modernization efforts.
What You Bring
- 2–4 years of experience in event coordination, project management or program delivery in a professional or association environment.
- Exceptional organizational skills with strong attention to detail and the ability to manage multiple timelines and competing priorities simultaneously.
- Demonstrated proficiency in Microsoft Office (Outlook, Teams, Word, Excel and PowerPoint), with the ability to create polished documents, manage spreadsheets and track project data effectively.
- Experience using event management platforms and digital tools to manage registration, reporting and attendee communications.
- Working knowledge of Adobe Creative Suite (InDesign, Acrobat and related tools) to support event materials and document formatting.
- Comfort working within website content management systems and digital collaboration platforms.
- Strong written and verbal communication skills, with the ability to communicate logistics clearly and professionally with speakers, vendors and members.
- A solutions-focused mindset with the ability to remain calm and adaptable in fast-paced or live-event environments.
