Position Overview
SCWIST is seeking a Project Administrator with a strong background in STEM and preferably with experience in alternative reading format conversion. This role will support the Enhancing STEM Access with Alternate Format Reading Materials for ALL Canadian products initiative by maintaining organized systems, ensuring accurate cataloging, and supporting accessible content production workflows.
The Project Administrator will play a key role in maintaining databases, organizing digital resources, and ensuring materials are properly converted and cataloged for accessibility. The ideal candidate is detail-oriented, technically proficient, and committed to improving access to STEM education resources for diverse learners.
Job Description
Project Administrator – Alternative Format & Database Management
This role will support project operations by managing alternative reading format conversions, maintaining organized databases, and ensuring accurate cataloging of STEM educational materials. The position will collaborate with colleagues and project partners to maintain high standards of accessibility, accuracy, and efficiency.
Key Responsibilities
- Maintain and update project databases to ensure accurate and organized records.
- Catalog and classify STEM materials using established metadata and cataloging standards.
- Convert documents into alternative reading formats using specialized software tools.
- Ensure converted materials meet accessibility and quality standards.
- Track project materials, versions, and documentation to maintain consistency.
- Support project coordination by organizing files, records, and reporting documentation.
- Collaborate with team members to ensure materials are properly formatted and accessible.
- Assist in monitoring workflow timelines and deliverables.
- Maintain confidentiality and data integrity across all systems.
- Perform other administrative duties as assigned to support the success of the project team.
Experience and Skills
- Bachelor of Science (BSc) degree in a STEM discipline.
- Experience with alternative reading format conversion software (e.g., braille translation tools, accessible PDF/EPUB conversion tools, OCR software).
- Experience maintaining databases and managing digital records.
- Knowledge of cataloging practices and metadata standards.
- Strong organizational skills with high attention to detail.
- Ability to manage multiple tasks and prioritize effectively.
- Proficiency with common digital tools and document management systems.
- Strong written and verbal communication skills.
- Experience working in collaborative project environments is an asset.
- Excellent visual, verbal, and written communication and presentation skills; must be able to explain the strategy and rationale behind your work.
Other Details
- Location: Fully remote (in Canada), Occasional travel may be required.
- Schedule: Full-time employment (7 hours /day; 5 days/ week).
- Salary Range: $28-$33/ hour
- Eligibility: Employment eligibility to work in Canada is required.
