HPIC advances global health and well-being by providing donated essential medicines and supplies, responding to emergencies, and strengthening local health systems. To achieve this mission, we collaborate with a broad network of non-governmental organizations (NGOs), medical mission teams, pharmaceutical and healthcare companies, as well as Canadian and international government partners.

About the position

Reporting to the Director of Programs, the Programs Coordinator supports the design, implementation, and monitoring of different projects, with a focus on access to medicines, emergency response and women’s and child’s health. This is a part-time, bilingual (French/English) hybrid position based in Sainte-Anne-de-Bellevue, Quebec, requiring project management, stakeholder engagement, M&E and analytical skills. The role works crossfunctionally with Programs, Operations, Philanthropy, Finance, and Communications teams.

Success in this position requires keen attention to detail, collaborating with team members, and aligning interactions and decisions with HPIC’s mission and values.

Responsibilities include designing and implementing projects, developing concept papers, preparing project proposals, monitoring, evaluating, and reporting; communicating with current and potential partners in Canada and overseas; working with Programs and Philanthropy teams to prepare and submit concept papers and project proposals; providing Philanthropy team with content for reports to donors; preparing partnership agreements and progress reports; aligning funding applications with donors’ priorities; and working with the Finance team to develop project budgets and monitor disbursements to partners.

Major Duties and Responsibilities

Project Management

  • Takes active role in design and development of new projects that reflect HPIC’s strategic and programmatic direction.
  • Prepares and submits concept papers and project proposals, in collaboration with Programs and Philanthropy teams.
  • Aligns funding applications with donors’ priorities and preferences.
  • Plans and oversees project implementation to ensure that projects are completed timely and within budget.
  • Develops professional contacts with other organizations toward collaborating on development and implementation of initiatives.
  • Communicates regularly with project partners to build strong relationships and ensure quality implementation of projects.

  • Prepares partnership agreements, project work plans, and progress reports.
  • Liaises with Philanthropy team and provides them with content for reports to donors.
  • Works with Finance team to develop project budgets, monitor disbursements to partners, and prepare financial reports to donors.

Monitoring and Evaluation

  • Supports development and implementation of monitoring and evaluation processes.
  • Compiles, reviews, and prepares information and generates project reports.
  • Works with Programs and Communications teams to ensure documentation and dissemination of program outcomes, including impact stories, photos, case studies, lessons learned, and best practices.
  • Assists with filing of documents to ensure that information is available and accessible to all team members.

Networking, PR, Other

  • Represents HPIC at external meetings and events.
  • Assists in development of fact sheets, presentations, and other materials.
  • Travels occasionally to meet with partners and other external stakeholders.
  • Meets regularly with supervisor to review progress and plan ahead.
  • Undertakes projects and other duties as assigned by Programs Director.
  • Collaborates effectively with team members across departments.
  • Contributes to results by identifying inefficiencies and recommending changes.
  • Handles expected workload at required quality level (productivity).

Qualifications & Skills

  • Diploma or undergraduate degree in a relevant field (e.g., supply chain, global health, international development, business administration, or related discipline) OR equivalent work experience.
  • Experience in project coordination and/or medical supply chain is an asset.
  • Good written and verbal communication skills.
  • Proficiency in MS Office Suite (Word, Excel, Outlook, Teams, etc.).
  • Good analytical thinking, organizational skills, ability to prioritize and meet deadlines problem-solving abilities, and keen attention to detail.
  • Ability to adapt to shifting priorities and manage multiple tasks effectively.
  • Willingness to travel internationally on occasion.

Note: as the Organization grows and our stakeholders’ needs change over time, management may change tasks assigned to this role accordingly.
