The opportunity

Are you motivated by the chance to help ensure all young people in Canada can access mental health support and Feel Out Loud? Kids Help Phone (KHP) is Canada’s Unlock The Hope Youth Charity. We’re the first and only 24/7 e-mental health service in the country and a global leader in innovation for youth and their well-being.

We’re seeking a full-time, permanent, hybrid (2–3 days per week) Program Support Coordinator to join the Service Programs team and help give more young people’s feelings a place to go. Reporting to the Vice President, Equity, Programs, and Innovation Implementation, you will support a team dedicated to driving equitable access to Kids Help Phone’s e-mental health programs and services.

In this role, you will provide administrative support, coordinate key initiatives for staff and volunteers, manage travel planning, and use various systems to distribute outreach materials to youth across Canada. Working closely with the broader Service Department, you will have a particular focus on supporting Kids Help Phone’s Indigenous Initiatives team, planning critical events, and coordinating outreach efforts.

The responsibilities

  • Plan and coordinate logistics for key events and initiatives for staff and volunteers, including forums, trainings, and other programs.
  • Liaise with internal and external stakeholders to manage venues, catering, AV, travel, and budgets.
  • Serve as onsite point of contact and ensure events run smoothly.
  • Collaborate with teams, including Indigenous Initiatives, to uphold cultural safety and protocols.
  • Support recruitment, onboarding, and engagement of advisory groups, primarily the Indigenous Advisory Council.
  • Coordinate volunteer participation, meeting logistics, and travel as needed.
  • Communicate across teams to prioritize initiatives and track progress.
  • Manage production, distribution, and tracking of program materials and inventory nationwide.
  • Maintain and update data using Salesforce, Jira, Excel, and other systems.
  • Prepare meeting and event materials, liaising with vendors as needed.
  • Book domestic and international travel for staff and volunteers.
  • Process invoices, honorariums, and expenses while ensuring accurate record-keeping.
  • Provide general administrative support, including scheduling, presentations, and research.

  • Ensure cultural safety and adherence to Indigenous protocols in collaboration with internal teams.
  • Serve as the main point of contact for events and group initiatives.
  • Support advisory groups and volunteer engagement, including meeting logistics, minutes, and travel coordination.
  • Manage program materials and inventory, liaising with vendors and distributors.
  • Maintain data, prepare materials for meetings/events, and provide general administrative support.
  • Process invoices, honorariums, and expenses while liaising with Finance.
