We are looking for a 6 month contract, full-time (35 hours per week) Program Support role to provide essential administrative, program and office support, ensuring the smooth functioning of day to day operations of Social Planning Toronto. By maintaining accessible, efficient systems, and a welcoming work environment, this position supports SPT’s organizational capacity to advance social justice, equity, and community led change in Toronto.

Responsibilities

  • Provides support in the preparation and follow-up for in person and online meetings and events (e.g. venue booking, room preparation, catering orders, arranging accommodations, preparation of materials, other arrangements and required follow-up)
  • Assists with duties related to the coordination of the Annual General Meeting
  • Books and posts meeting schedules ( e.g. online/ in person external workshops and events, internal meetings and use of office meeting spaces)
  • Provides clerical support (e.g. filing, agendas, minutes, record keeping) and filing of such documents
  • Assists in the development of flyers, brochures and other promotional material
  • Assists in the dissemination of all materials/communications (e.g. event promotional materials, e-newsletters, reports, publications, membership communications and donor communications)
  • Maintains and updates all databases on Nationbuilder and the staff Google Workspace (e.g. mailing lists, membership lists, staff resources and other shared databases)
  • Processes and coordinates all mail and deliveries, and disseminates to the appropriate staff
  • Performs support duties related to the smooth operation of the whole office and responds to needs as they arise
  • Maintains a welcoming, accessible and functional reception area, office space, conference room, kitchen and supply room
  • Responsible for ordering and replenishing office supplies as needed
  • Performs other relevant duties as required

Qualifications/Skills

  • 3 to 5 years related work experience, preferably in the non-profit sector
  • Demonstrated skill and experience in support staff functions: word processing, database management and customer service
  • Good computer skills (60-80 wpm using a variety of computer allocations such as Windows, Microsoft 365, Google Drive, proficiency in use of Word and Excel)
  • Demonstrated ability in online platforms (use of internet, Microsoft Teams, Canva, and Zoom)
  • Demonstrated ability to effectively communicate with the public by email, telephone or in person
  • Demonstrated ability to work as a member of a team and contribute to overall team effectiveness
  • Demonstrated ability to work independently and in a flexible environment
  • Ability to perform a multi-function job and respond to needs as they arise
  • Strong organizational and time management skills
  • Oral and written fluency in English, knowledge of a second (or more) language is an asset
  • Experience working with and knowledge of diverse residents and communities across the city, including women, girls, trans, Two-spirit, and non-binary residents, Indigenous, Black, racialized folks, 2SLGBTQ+, seniors, immigrants, refugees, non-status residents, and people with disabilities is an asset;
  • Knowledge and experience with Toronto’s community-based sector is considered an asset

Annual salary range: $49, 504- $58,389.70

In addition to salary, SPT has an excellent employee benefits package that includes sick leave, vision care, dental, extended health and wellness benefits, hospitalization, drug plan, long term disability, group life insurance and pension plan. SPT also offers 15 vacation days in the first year of employment, 14 official statutory holidays, personal and other leave days, and paid time off between December 24th and January 1st each year.

This position is part of the CUPE LOCAL 1777 Union.

Working Conditions

This is a full-time, contract position working 35 hours/week with occasional evening and weekend work. This position is based in Toronto, Ontario. Our team is currently working in a hybrid manner with the option to work on site at our office in downtown Toronto or from home. This position requires working in the office twice a week on regularly scheduled days from 9 am- 5pm.
